What are the responsibilities and job description for the Administrative Assistant/Scheduler position at RJR Technologies, Inc.?
RESPONSIBILITIES:
· Perform general administrative tasks such as sorting and distributing mail, answering phone calls, taking messages, and directing calls to the appropriate person or department.
· Greet and assist visitors, clients, and employees in a professional and friendly manner.
· Manage and maintain calendars, schedule and coordinate meetings as well as trainings.
· Type, transcribe, and distribute correspondence, memos, reports, and other documents.
· File and organize documents, records, and reports both electronically and physically.
· Assist with supplies as needed.
· Provide support to HR with onboarding, new hire orientation, employee benefit enrollment, employee terminations, FMLA, OSHA, and/or Workers' Compensation paperwork and logs.
· Coordinate and purchase airfare as needed.
· Coordinate Company events.
· Other projects as assigned.
REQUIREMENTS:
· Proficient in typing and data entry with accuracy and speed.
· Familiarity with phone systems.
· Strong organizational skills with the ability to prioritize and multi-task effectively.
· Must have adequate documentation skills.
· Excellent calendar management skills to schedule appointments and meetings efficiently.
· Professional phone etiquette with excellent verbal and written communication skills.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe PDF, and other office software.
· Ability to maintain confidentiality of sensitive information and some basic HR knowledge.
· Previous 2 years’ experience working in an office or front desk setting is required.
· High School diploma or equivalent required / Associate degree considered a plus
