Description

Jenny Bour with Robert Half is working with a dynamic and innovative company that is seeking a highly organized and proactive for an Administrative Assistant to join their team! The Administrative Assistant will play a crucial role in ensuring the smooth operation of the management team. This position requires exceptional organizational skills, the ability to manage multiple tasks simultaneously, and experience in booking international travel arrangements. The successful candidate will be a self-starter with a strong attention to detail and excellent communication skills.

Key Responsibilities

  • Provide comprehensive administrative support to multiple managers.
  • Manage and maintain executive schedules, including scheduling meetings, appointments, and travel arrangements.
  • Book international travel, including flights, accommodations, transportation, and itineraries, ensuring cost-effectiveness and adherence to company policies.
  • Prepare and process expense reports, ensuring timely and accurate reimbursement.
  • Handle confidential and sensitive information with discretion and integrity.
  • Coordinate and organize meetings, including preparing agendas, taking minutes, and distributing relevant materials.
  • Serve as a liaison between managers and internal/external stakeholders.
  • Assist with the preparation of presentations, reports, and other documents as needed.
  • Perform general office duties such as ordering supplies, managing mail, and maintaining filing systems.
  • Support special projects and initiatives as required.


Requirements

  • Bachelor’s degree in Business Administration, Office Management, or a related field.
  • Proven experience as an administrative assistant, preferably supporting multiple managers.
  • Demonstrated experience in booking international travel arrangements.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High level of professionalism and confidentiality.
  • Strong attention to detail and problem-solving skills.
  • Ability to prioritize tasks and meet deadlines.
