We are seeking an Executive Assistant to join our team. In this role, you will be providing administrative support to C-Level executives, handling sensitive information with confidentiality and professionalism. This role offers a contract to permanent employment opportunity.
Responsibilities
- Answering phones in a courteous and timely manner, directing calls as necessary
- Managing executives' calendars to ensure efficient scheduling and rescheduling of appointments
- Organizing and coordinating domestic and international travel arrangements
- Handling email correspondence, prioritizing and responding appropriately
- Processing expenses and maintaining accurate records
- Utilizing Microsoft Office for document creation and management
- Using CRM and other software such as Cisco Webex Meetings and Kronos Timekeeping System for efficient work management
- Providing support to other C-Level executives as needed
- Leveraging skills in Concur and ADP - Financial Services for financial management tasks
- Managing conference calls and correspondence, ensuring effective communication.
- Must have a minimum of 5 years of experience as an executive assistant or in a similar role
- Proficiency in ADP - Financial Services is required
- Experience with Cisco Webex Meetings is necessary for conducting and organizing virtual meetings
- Familiarity with Concur for travel and expense management is essential
- CRM experience for managing customer relationships and data is required
- Proficiency in Kronos Timekeeping System for tracking hours worked
- Familiarity with About Time for project management is beneficial
- Excellent calendar management skills to organize and schedule appointments
- Strong communication skills for liaising with staff, suppliers, and clients
- Experience in conducting and managing conference calls
- Ability to handle correspondence with professionalism and discretion.
