We are seeking a reliable and proactive Front Desk Admin in Nashua, NH. As a Front Desk Admin, you will be the first point of contact for clients, vendors, and visitors, providing exceptional customer service and ensuring a smooth operation of the front desk area. Your attention to detail, excellent organizational skills, and ability to multitask will contribute to the overall efficiency of our office!
Key Responsibilities:
- Welcome and assist clients, vendors, and visitors in a friendly and professional manner.
- Direct them to the appropriate individuals or departments.
- Provide general information and answer basic inquiries.
- Maintain inventory of office supplies and place orders as needed.
- Organize and maintain a neat and tidy front desk area.
- Ensure that all necessary supplies are readily available for daily operations.
- Coordinate and schedule meetings for the new lawyer.
- Manage calendars, send out meeting invitations, and ensure all necessary resources are available.
- Communicate meeting details and changes effectively to all relevant parties.
- Assist with drafting, formatting, and proofreading various documents, including letters, fee agreements, and other legal paperwork.
- Ensure accuracy, proper formatting, and adherence to company guidelines.
- Prepare documents for distribution or filing.
- Receive incoming mail and packages, sort them, and distribute them to the appropriate recipients.
- Prepare outgoing mail and packages for shipment using the appropriate mailing methods.
- Maintain accurate records of incoming and outgoing mail.
Requirements
Qualifications and Skills:
- Previous experience in a similar front desk or administrative role is preferred.
- Excellent interpersonal and communication skills, with the ability to interact professionally with a diverse range of individuals.
- Strong organizational skills and the ability to prioritize tasks effectively.
- Proficiency in using office equipment, such as computers, printers, and telephone systems.
