The Payroll Specialist will oversee and manage all payroll functions. This fully remote position provides critical service that directly impacts the lives of our employees. Reporting to the Director of Accounting, you will work directly with all functional areas within the business including Finance and Operations.
What You'll Be Doing:
- Process accurate semimonthly payroll for exempt and non-exempt population of 500 employees, ensuring compliance with all federal, state, and local regulations
- Maintains BambooHR payroll module in conjunction with HR Partners; ensuring applicable updates to maintain federal, state and local compliance and alignment with HR processes and best practices
- Answer employee questions and resolve issues around payroll
- Register company for payroll taxes in any new states we begin operation in
- Own and drive regular payroll audits of the system, reporting, and processing
- Critically review and analyze current payroll, 401k and tax procedures in order to recommend and implement changes leading to best-practice operations; updating and documenting procedures
- Prepares weekly, monthly, quarterly and year-end reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages
- Partner with HR in 401(k) administration
- Determine payroll liabilities by approving the calculation of employee federal and state income and social security taxes, and employer's social security and unemployment payments
- Balance the payroll accounts by resolving payroll discrepancies, working closely with the general ledger teams
- Liaison with company payroll providers to ensure accuracy, compliance and timely processing of payroll, withholding tax return preparation and reporting, and settlement
- Work with our internal Finance team to resolve issues and drive end-to-end process improvements
- Maintain communication with payroll service providers regarding software updates and new products available to initiate the use of new features
- Oversee year-end processes, including W-2s and year-end adjustments
- Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions
- Maintains employee confidence and protects payroll operations by keeping information confidential
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; and participating in professional societies
- Support senior management by performing various departmental payroll special projects as needed
- Assist any internal and external audits as necessary
What You'll Bring:
- Bachelor's Degree in Accounting, Business Administration, Human Resources or related field preferred.
- Minimum of 5 years of payroll management experience
- ADP WorkforceNow experience is required
- Strong understanding of payroll and tax
- Computer savvy; understanding of excel/google sheets and formulas like V-Lookup
- Ability to maintain confidentiality and exercise discretion in business relationships.
- Strong execution skills, advanced analytical skills, and accounting skills.
- Excellent working knowledge of federal, state, FICA and local tax withholdings laws and regulations

- Ability to sit for extended periods of time and view a computer monitor (with or without blue-light filters) for shift duration, for up to 10 hours of time during a work day excluding meal and rest periods.
- Ability to effectively see and read font size 6 and above with or without corrective vision.
