What are the responsibilities and job description for the Executive Assistant position at Roots Community Health Center?
Position Summary:
The Executive Assistant provides support to the entire organization in the areas of finance, administration, and operations. This position supports filing, audit and site monitoring preparation, scheduling, and other key functions within the organization.
Duties and Responsibilities:
- Perform administrative and office support activities for multiple departments.
- Manage executives’ calendars as needed.
- Reconcile expense sheets.
- Field telephone calls.
- Receive and direct visitors.
- Perform filing, word processing, spreadsheet and presentation projects.
- Assist with overflow work from Executive Administrator.
- Sort and distribute incoming mail.
- Attend all department and staff meetings and trainings, as assigned.
- Assist with projects as needed.
Competencies:
- Organized and a self-starter.
- Detail oriented, professional attitude, reliable.
- Proficient in typing.
- Strong organizational and time management skills
- Strong problem-solving skills,
- Skilled in documentation, data entry, research and resolution, data analysis and multi-tasking.
- Ability to communicate effectively verbally and in writing.
- Ability to interact with employees and vendors in a professional manner
- Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Work experience with a non-profit, preferrable in the social services field or at a community health clinic.
- Ability to work consultatively with all levels of leadership.
- Ability to safeguard confidentiality by exercising discretion in communicating information, handling records, files and all confidential materials.
