Employee works 20 hours per week: Monday through Friday between the hours of 8:00 am-5:00 pm PST;
Employee’s schedule may be changed by Employer from time to time.
Reports to:
Primary Supervisor: Finance Manager
Purpose of this Position:
The Contracts Administrator is responsible for managing all company contracts and will have great attention to detail when reviewing all aspects related to the contract.
Qualifications:
- 2-3 years of experience in contract review and writing, preferably in the cybersecurity or IT industry
- Ability to understand contract formation
- Ability to understand RFP requirements and ensure they are addressed in our proposals
- Bachelor’s degree in English, Communications, or Journalism preferred, or equivalent experience
- Strong knowledge of Google Suite (Drive, Docs, Sheets, Forms) and Microsoft Office Suite (Word, Excel, PowerPoint)
- Exceptional written and verbal communication skills
- High degree of flexibility with the ability to work in a small, fast-paced environment
- Thorough and detail-oriented, organized, with excellent time management skills
- Ability to quickly learn, understand, and evaluate current and new tools
- Self-starter who can work independently with a proactive attitude
Physical Requirements:
- Ability to sit at a desk for long periods of time.
- Ability to clearly communicate with staff and customers through verbal and written communications.
- Ability to type, hand write, use computers and answer phones daily.
Duties & Responsibilities:
- Maintain all contracts for the company including sales contracts from inception to execution, including contract dates, expiration, and deadlines
- Ensure that activities are conducted according to policies and procedures of the Company
- Manage and coordinate activities within the contract administrative process
- Review current proposal templates and make improvements as necessary
- Research and understand current & new service offerings
- Edit language in current contracts as needed based on research and industry best practice
- Create contract templates for new service offerings
- Ensure consistency across all contract templates including but not limited to the company’s message, style/design, terms and conditions, etc
- Generate proposals/statements of work (SOWs) and quotes
- Create proposals/SOWs and quotes for sales team members
- Send and follow-up on proposals/SOWs and quotes as needed
- Edit and create product IDs in quote system
- Review current product IDs on a quarterly-basis to ensure consistency
