Hybrid Remote/In Person Full-Time (40 hours per week) Position in Castro Valley, CA (Exempt)

Reports To: Chief Financial Officer

Who We Are

Ruby’s Place (RP) is an innovative nonprofit committed to ending domestic violence, human trafficking, and violent crime through hope, advocacy and connection. Our services include emergency shelter, transitional housing, rental subsidies, mental health services, and wrap around services. All our services are trauma-sensitive and client-centered and are provided at no cost to our clients. There are no barriers to participate in our programs.

What qualifications are required for this position?

  • Nonprofit Accounting Experience. Minimum of 5 years in nonprofit accounting, with significant grant experience, including experience in nonprofit single audits. Experience tracking all financial entries related to grant and local/state/federal agency funding requirements.
  • Technical Knowledge. Deep understanding of GAAP, financial reporting, and regulatory compliance. Strong knowledge of best practices in AP, AR, JEs, capital assets, balance sheet analysis, and month/year-end closing.
  • Multiple EIN Experience. Familiar with working in an agency structure with multiple EINs. Able to oversee the auditing and financial legal oversight for multiple entities.
  • Audit Compliance. Experience overseeing audit compliance across multiple entities, funding sources, and income streams.
  • Software. Proficient in QuickBooks Online. Ideally has implemented accounting software systems and/or upgrades. Has proficiency in Microsoft Excel (Intermediate level) and Google Sheets.
  • Problem Solving. Excellent analytical skills and diligent problem solver. Keen attention to detail. Able to balance multiple priorities and changing circumstances.
  • Leadership. Proven ability to lead, manage, and train accounting staff and to collaborate effectively across departments. Strong initiative, self-starter. Attentive to both individuals and the organization.
  • Communication. Strong communicator, able to convey complex financial information clearly, patiently, and respectfully.
  • Education. Bachelor’s degree in accounting or finance, or equivalent. CPA preferred.
  • Other Skills. Flexible, compassionate, and supportive attitude. Excellent analytical skills and problem-solving abilities, with a keen attention to detail.
  • Work Style. Works well independently and within a multi-disciplinary team environment, managing multiple projects and priorities and working cooperatively to meet internal and external requests.

  • Background Checks. Able to complete a background check. Additional requirements may be deemed necessary, including fingerprinting (Live Scan), completion of all Community Care Licensing (CCL) documents, and ability to meet CCL licensing requirements.

Responsibilities Include

What You Will Do

  • Oversee Accounting Operations. Manage general ledger, transaction processing, and account reconciliations (AP, AR, GL) and ensure timely reconciliations, financial closes, and statement preparation.
  • Maintain Financial Controls: Ensure compliance with financial regulations, laws, and grant requirements. Monitor and ensure financial controls. and establish additional controls as needed.
  • Team Leadership: Train, lead, and manage the accounting staff. Review and support their work to ensure accuracy, consistency, and best practices. Collaborates with the Senior Fiscal Manager to ensure all invoicing is being completed and reported on a monthly/quarterly basis.
  • Ambassador: Act as an Ambassador for Ruby’s Place in all interactions with staff, clients, partners, funders, donors, and the community. Possess a full understanding of all RP services and confidently communicate internally and externally high-level messaging.
  • Organizational Leadership: Participate as an active member of the Ruby’s Place Director team.
  • Compliance: Ensures compliance with financial regulations and laws, including tax laws and grant regulations.
  • Audit Support: With oversight from the CFO, lead all agency audits (Single Audit, grantor’s audits, and worker’s compensation audits). Collaborate with external auditors to ensure timely completion of audits.
  • Financial Management and Reporting: Provide financial information and insights for internal staff and Board meetings. Assist executive leadership in making contracts, purchases, and accounting policy/procedure decisions.
  • Collaboration and Continuous Improvement: Review and improve internal processes for efficiency and effectiveness. Provide training for accounting and other staff as needed. Work with internal staff as needed to adjust their financial plans.
  • Timesheets: Complete functional timesheets by assigned due dates in compliance with time allocations.
  • Supervision: Actively participate in reflective supervision sessions.
  • Documentation: Create and maintain documentation of processes and procedures related to job duties.
  • Miscellaneous: Perform other duties as assigned.

Working Conditions

This position is eligible for remote work and occasional in person as needed. Time spent on-site versus remote working will be discussed and agreed upon with your supervisor. You are expected to be available on-site as necessary given business needs. You must be able to stand for long periods of time and perform physical activities, including lifting up to 25 pounds. You will be subject to frequent interruptions and must be able to multitask and handle stress.

Local travel in the greater Bay Area may be required.

The pay scale for the Controller is $125,000-$144,000 based on experience The benefits that come with working at Ruby’s Place at full-time hours include medical, dental, and vision plans, a life insurance policy, significant vacation, sick time, sabbatical, and immediate vesting in our 403(b) with a generous match. This is a full-time, 40 hours per week, salaried position. This is a hybrid position (flex work), with some days required in our Castro Valley Office. Applicants must be located in the greater Bay Area.
