What are the responsibilities and job description for the Project Coordinator position at RUI?
We are seeking a Project Coordinator to join our growing team! The Project Coordinator is an important and versatile position at RUI. The position is dynamic and fast paced, and requires great accuracy and attention to detail. The Coordinator provides support to the sales team and project managers within our Construction Department. As the Coordinator at RUI you will assist the equipment procurement and construction departments with a multitude of tasks, some of which are outlined below. The position requires strong organizational skills as well as strong written and verbal communication skills. Once person is trained in the role the position will be hybrid, with ability to work from home a couple days a week.
Responsibilities include:
· Job Setup and equipment procurement
1. Set up equipment sales jobs
2. Order equipment
3. Produce and issue purchase orders
4. Track shipments
· Job Setup for installation projects
1. Obtain insurance certs and review for accuracy/compliance
2. Produce site specific safety manuals for each project
3. Produce MSDS binder for each project
4. Complete required forms as per contract
5. Print drawings & specifications as required for field personnel
6. Permit application & follow through
· Create each job in system
1. Create “Job File” for each new job
2. Enter estimates into new jobs created in system
3. Set up new customers and vendors in system for construction projects
· Billings
1. Invoice projects once complete and/or progress billings as needed
2. Create and submit SOV with each billing as required by client
3. Complete conditional & unconditional waivers as required
· Job close out documentation to include
1. As-Built drawings
2. Closeout forms
3. Warranty forms
4. Equipment tracking and inventory forms
· Monitor change orders and work with project manager to ensure they are followed through on and entered into system
· Review, organize, and compile project related items and corresponding documentation for submission to client/customer
· Make travel arrangements for technicians as/if needed
· Complete tasks accurately and on time
· Close jobs in system when warranty period had ended
· Issue PO’s including:
1. Equipment and parts orders as needed; updated as required once issued
2. Issue PO’s for field personnel
3. Ordering of site equipment (lifts / fencing / dumpsters / etc)
· Contribute to team effort by accomplishing related tasks as needed
Required Skills & Experience:
Minimum 1 year of project coordination experience in the commercial construction industry
High School Degree or GED equivalent
Job Type: Full-time
Pay: $27.00 - $33.00 per hour
