What are the responsibilities and job description for the Grants Associate position at Safe Horizon?

Summary: The Grants Associate will be an essential partner for a five-person team of grant writers and senior portfolio managers, who prepare written funder materials and conduct funder-facing activities to cultivate over $3 million in annual private support for Safe Horizon programs. The Grants Associate will be an instrumental operations expert and collaborator for this team in a fast-paced environment in order to support prospect research, moves management of over 100 funders, timely response to various inquiries about current grants (internal and external), submissions of government applications after narratives have been drafted by colleagues, and post-award grants management activities for all Safe Horizon programs.

This position requires exceptional database management skills, attention to detail, independent problem solving skills, and a genuine love for understanding group processes and helpful ways to suggest and ultimately enact operational efficiencies. Successful candidates will immediately notice and admire uniform cell formatting in Excel, the power of color coding and utilization of fonts to increase scan-ability for diverse agency audiences, and the wonder of consistent and intuitive file naming conventions for documents shared across departments. This position will additionally own special projects with open-ended and minimal directives but clear, time-limited end goals. This position must be a team player who can share in intentional, strategic overlap of workflows and handoffs of responsibilities in a large Development Department team, celebrating that partnership, communication and trust are the backbone of our team dynamics and strengths. Candidates will enjoy cross-departmental collaboration and relationship-building with the ultimate aim of supporting Safe Horizon’s mission to uplift survivors of trauma and abuse on their journeys to safety and healing.

This is an exciting opportunity for candidates with demonstrated experience in complex cross-departmental operations, Excel/database management, and/or specialized research. Entry level candidates with strong demonstrated skills in these areas will be considered. The right candidate will be provided with an onboarding program that includes training on our specific processes and operations at Safe Horizon, with the expectation that candidates will be able to operate on a mostly independent basis after a three-month onboarding period. Candidates with lived experience as survivors of trauma are especially encouraged to apply.

Responsibilities:

· Manage and process post-award, grants managements, cultivation and renewal activities for foundation awards across all Safe Horizon programs in collaboration with grant writers and portfolio managers

· Lead routine grants management processes, including preparing grant face sheets, entering reporting and renewal deadlines into Salesforce, and monitoring progress on special grants

· Conduct extensive prospect research and vetting, and support moves management of newly identified funders across a continuum of tailored stages in partnership with grant writers and portfolio managers

· Plan for next steps, follow ups and moves management on a tailored basis in Salesforce and enter email chains/phone communication notes and next steps for grant writers and portfolio managers

· Lead monthly reporting processes for foundations within the team and across departments, reviewing reports and identifying needs for troubleshooting and course correction

· Maintain standard proposal documents for the team and upload materials to grant portals

· Support planning for government grant submissions and upload provided materials to portals in a timely manner

· Schedule site visits with funders and team members in Outlook

· Proofread grant materials drafted by team members as needed

· Update existing narratives with more current numbers and research statistics

· Other projects as assigned to improve operations across teams

Qualifications:

· 2 years of experience with data management and operations, preferably in a non-profit environment. Entry-level candidates with demonstrated skills in key areas will be considered.

· Prior experience using Salesforce (or similar data system) is preferred.

· Prior experience conducting research on funders and analyzing trends in the field of philanthropy preferred,

· Strong Excel analytic skills including use of pivot tables.

· Strong attention to detail and ability to work independently and as part of a team.

· Ability to meet deadlines and work independently.

· Experience with Microsoft Office suite including Excel, Word and Power Point, and Outlook meeting scheduling required.

· Database entry experience including transaction and contact information, database reporting, and basic administration skills are required.

Pay: $57,261.28 - $193,857.66 per year
