Job Description

Saint Anselm College, a private, liberal arts college in the Benedictine tradition, is seeking a year-round, part-time (20 hours per week) hybrid (on-campus/remote) Sponsored Programs Administrator. Reporting to the Director of Sponsored Programs and Research, the Sponsored Programs Administrator assists with the proposal preparation and submission process, coordinates faculty outreach and OSPR training, manages an internal grants database, and facilitates transition to post award. This position serves as an administrative liaison between sponsoring agencies, the college and Principal Investigators (PI) through all phases of grant and contract post-award management. In addition, the position serves as a liaison to the Finance and Budget office and other collaborating offices.

 

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

  • Assists as needed, the principal investigator, proposal team and the Director of Sponsored Programs and Research to search for grant funding opportunities and to prepare proposal submissions to private, state, and federal sponsors, including review of application requirements, budget preparation to ensure all sponsor and institution policies and deadlines are met.
  • Assists with pre-proposal documents for review by upper level administration for final approval prior to submission.
  • Assists with faculty outreach and training; designing and implementing workshops on topics including grant writing and proposal development and updates for external funders and agencies (i.e. NSF, NIH, NEH).
  • As needed, assist PIs with non-financial award reporting requirements. This may range from ensuring faculty are meeting deadlines to working closely with PIs to complete report forms.
  • Coordinates data management of an internal pre-award grants database; track data and run institutional reports to reflect pre-award research, pending applications, and active awards.
  • Assistance with expense initiations. (HR forms, Independent Contractor Agreements, Purchase Orders).
  • Regular consultations with the Budget and/or Controller Office to ensure proper post-award management and sponsor programs reporting and invoicing.
  • Update and maintain OSPR webpage as needed.
  • Performance of other duties as assigned by the Director of Sponsored Programs and Research.

 


QUALIFICATIONS

Required:

  • Bachelors degree required, Masters degree preferred.
  • 3-5 years professional level administrative experience required.
  • Experience with government grants and contracts; Knowledge of federal grant guidelines.
  • Strong computer skills in spreadsheet and relational databases.
  • Strong skills in research and data base manipulation.
  • Extensive computer experience required, particularly in areas of budget, reports and data collection; Good understanding of and experience with integrated software, specifically with accounting software modules; must also be proficient with MS Office products.
  • Ability to understand, interpret rules and regulations in grant proposals that apply to financial information.
  • The ability to organize and complete work independently, work collaboratively with internal and external offices, attend carefully to details, and communicate thoughtfully and effectively with all relevant parties.
  • Strong attention to detail, communication skills, and writing skills; excellent planning, organizational and time management skills.
  • Ability to maintain confidentiality in records and research.

Preferred:

  • Experience within higher education institutions, and exposure to grants management and accounting and associated state and federal compliance procedures. Strong database development and management with MS Access.
  • Experience interpreting complex government policies (FAR, Cost Accounting Standards, OMB Uniform Guidance 2 CFR 200, RFPs and sponsored guidelines, etc.) for project PIs and help guide other staff in interpreting complex policies.
