What are the responsibilities and job description for the Administration Coordinator position at Saint Paul Festival & Heritage Foundation?
The Saint Paul Festival and Heritage Foundation organizes the Saint Paul Winter Carnival in Saint Paul. This position will assist with volunteers, maintaining records; office management and other duties as assigned.
Job Duties:
Administration
- Prepare bank deposits and income reports
- Prepare payables to be sent to accounting firm
- Invoice and track sponsors/members/etc.and send reminders for payment
- Provide board meeting support as needed
- Answer phones and assist walk-in traffic as needed during regular office hours
- Maintain office equipment and supplies as necessary
- Prepare printing and mailings
- Maintain a professional office environment
- Participate in meetings as needed to support smooth coordination of all activities
Volunteers
- Determine event needs with CEO and arrange components necessary to succeed
- Collaborate with volunteers on various events/responsibilities; train volunteers for events as needed
- Complete and track the background check process for incoming characters
- Complete and track signatures on Protocol Manual by incoming Legend Characters
Membership / Button Program
- Maintain membership records and process payments accordingly
- Communicate with members regarding upcoming events, membership benefits, etc.
- Maintain button database, send out invoices, and collect payments

This position will be part-time 12 hours a week (10am-4pm) (hire date-November), then 20 hours a week (November-February) and back to 12 hours a week (March-June). Must be available for all event days January 23 –February 2, 2025 as well as the availability to work occasional nights and weekends for events.
Pay, Hours and Benefits
$20.00 per hour. Benefits are not offered with this position.
Expense Reimbursement: Parking will be provided up to $125 per month.
