- Summary
Assist in day-to-day schedules and activities of the Office of Financial Aid. Perform specialized clerical duties involving various financial aid programs and records maintenance according to federal, State, and institutional regulations and/or policies. Provide assistance and information to students, staff and the public. Operate a variety of office equipment, systems and other peripherals and be able to assist staff in operation of such equipment.- Essential Duties & Responsibilities
- Coordinate and process all outgoing correspondence utilizing Colleague's Communication Module. Identify potential issues and develop effective issue resolution methods.
- Effectively communicate via email by responding to routine financial aid inquiries.
- Maintain the Financial Aid Office e-mail account.
- Assist callers and visitors with routine financial aid related inquiries, directing inquiries to the appropriate resource (in office or campus-wide) as needed.
- Assist students/families in online completion of the FAFSA; IRS data retrieval; loan MPNs; entrance/exit counseling; scholarship searches; and other aid requirements.
- Distribute appropriate aid forms, instruct students in correct procedures for completion of forms and applications in usual and unusual situations, and review for accuracy prior to accepting.
- Utilize federal databases to troubleshoot location of FAFSA results or respond to loan status inquiries.
- Receive, track and electronically file financial aid documents into student's records:
- Assist in receipt and opening of documents received by FAO. Documents arrive via US Postal, Electronic Fax, email and in-person delivery.
- Review all documents for proper signatures, attachments and completion.
- Log documents in Colleague, the University's Student Management System.
- Scan and index documents in the document imaging system SoftDocs.
- Provide follow-up calls for missing or incomplete documents.
- Assist with specialized data entry and processing projects to support the processing of prospective and continuing financial aid verification, awarding efforts.
- Order and maintain permanent copies of some reports needed to meet retention requirements.
- Schedule appointments and manage all departmental scheduling needs
- Maintain inventory of office materials and supplies, and anticipate ordering needs.
- Responsible for all undeliverable mail and resolution
- Assist the Director of Financial Aid with the administration of the Tuition Exchange Program.
- Assist in representing the Office of Financial Aid campus-wide and at special events.
- Model, support and facilitate quality customer service.
- Qualifications

- High School Diploma required; Associates Degree preferred
- 3 years office experience or related experience preferred
- Strong interpersonal and organizational skills
- Ability to prioritize, multi-task, perform well under pressure, and meet deadlines
- Excellent written and communication skills
- Strong computer skills with knowledge of Windows-based applications preferred
- Commitment to a liberal arts education
