OVERVIEW:

 

Under the general supervision of the Senior Vice President, Loan Administration manages the Loan Servicing Department. Performs all duties in conformance with established Bank policies, strategies and procedures.

 

PRIMARY ACCOUNTABILITIES AND RESPONSIBILITIES:

 

Performs any functions necessary, within the scope of authority and expertise, to provide the highest level of customer service and responsiveness to the financial needs of individuals, families, businesses, organizations and stockholders served by the Bank.

 

  1. Plans, coordinates and directs the daily activities of assigned area.  Ensures the efficient, effective and courteous delivery of customer service by assigned staff.  Conducts and/or oversees the periodic performance review process.  Provides support, motivation and disciplinary action as needed.  Participates in the hiring, salary and promotional recommendation process.

 

  1. Monitors, tracks and reports key departmental metrics.  Uses same to measure departmental and/or individual performance; adequacy of staffing; and to address backlogs; and workflow management, etc. 

 

  1. Takes the lead in reflecting complex Commercial transactions on the Core System Most especially Commercial Construction, Participation Loans, TDR’s etc.; as well as building new loan products on the Core

 

  1. Develop and implement ongoing procedures for processes completed in Loan Servicing.  Identify opportunities for process improvements/efficiencies, update as required by regulatory changes, or by new products  and implements

 

  1. Oversees Escrow Analysis and ensures processes support timely payments of insurance and taxes; Investor reporting and participant remittances; payoff processes; closed loans; ad hoc reporting;  post close audits; collateral deficiencies resolution; as well as other responsibilities within the Loan Servicing procedures 

 

  1. Prioritizes engagement of staff through departmental training and development

 

  1. Participates in or leads internal huddles and committees

 

  1. Oversees departmental projects and participates in bank wide projects representing the Loan Servicing Team to both identify and ensure assigned tasks are completed within deadlines

 

  1. Review loan files for overall quality (compliance with regulatory requirements, credit data exceptions, lien perfections, collateral perfection, appraisal information, etc.)

 

  1. Keeps abreast of developments within the banking industry and regulatory environment for assigned area and apprises staff of same.  Ensures compliance with State and Federal regulations.  Attends meetings and seminars as needed.  Recommends procedural changes as needed to support prescribed requirements.

 

SOX COMPLIANCE:

 

  1. Comply with all SOX policies and procedures.

 

  1. Assist with day-to-day compliance with internal and external controls.

 

  1. Report any changes in internal controls over financial reporting to department manager or Executive Officer as they occur; ensure process flows and procedures are kept current with the practices of the department.

 

DELEGATION OF COMPLIANCE DUTIES AS A REGULATION OWNER:

 

Regulation Owners will be assigned in each major functional area of the Bank.  A Regulation Owner will take ownership of a regulation that applies to their department and will be responsible for thoroughly understanding the purpose and content of that regulation, including the associated risks with regard to the Bank’s products, services, operations, and markets.  The Regulation Owner will seek training and guidance on his or her assigned regulation, and will act as the ‘expert’ for the department and the Bank.  The Regulation Owner will be responsible for any procedures, policies, and employee training within the Bank on his or her assigned regulation, as well as any audit, review, or exam relative to that regulation.

 

OTHER ACCOUNTABILITIES AND RESPONSIBILITIES:

 

  1. Performs a variety of loan related administrative functions as may be assigned or requested.

 

  1. Supports other internal departments as needed 

 

  1. Serves as backup to other loan servicing staff to ensure timely and accurate completion of department tasks.

POSITION REQUIREMENTS:

 

A minimum of five years’ experience in loan servicing with at least three years servicing commercial loans. 3-5 years supervisory/management experience required. Bachelor’s Degree Preferred, but may be waived based on work experience. Must be detailed oriented and demonstrate excellent communication, organization and analytical skills.  Must have strong knowledge about loan accounting systems, loan documentation, and loan accounting systems. Must be proficient in the use of Microsoft Office products, with demonstrated skill in Excel and Word.  Proficiency in data base products such as Access or Crystal Reports highly desirable.
