Description
The San Francisco Conservatory of Music is looking for a Business Office Administrative Coordinator who will provide general administrative support to the Vice President of Finance & Administration and provide support needed to ensure the smooth operations of the Business Office and administrative staff of SFCM. Job duties will vary, but the ideal candidate enjoys working on campus and interacting with a wide variety of people served by the Business Office, which includes collegiate students, faculty, and staff colleagues.
- Assists the VP of Finance & Administration in the preparation of reports, including submitting
- and reconciling expense reports and invoices
- Enters all miscellaneous cash receipts into the accounting system and deposits checks; collaborates with Advancement to ensure correct coding of donations.
- Orders and maintains office supplies and researches suppliers and vendors
- Processes and directs mail and incoming/outgoing packages and deliveries
- Oversees the maintenance of copy and mailing machines in the Faculty/Staff workroom.
- Manages off-site file storage
- Oversees the creation and removal of staff and faculty mailboxes
- Orders business cards upon request as needed
- Performs other duties as assigned
- Taking minutes and maintaining clear files related to SFCM's board of trustees and its finance, investment, audit and operations-related sub-committees.
- Manage student worker(s) and/or vendor(s) as appropriate
Requirements
- 5 years of related experience
- Knowledge of office management systems and equipment, including proficiency in Microsoft Office Suite (especially Excel) and Google productivity and collaboration tools (e.g. Gmail, Google Docs).
- Superior time management skills, attention to detail, judgment, diplomacy and organizational skills; ability to multi-task and prioritize work among competing priorities; ability to work independently and take initiative as needed
- Excellent written and verbal communication skills
- Ability to work outside typical business hours as needed
