Job Summary:
The Accounting Clerk with a focus on payroll will be responsible for ensuring accurate and timely processing of payroll, managing related financial records, and supporting various accounting functions. This role requires an individual with a deep understanding of payroll processes and regulations, combined with a solid foundation in general accounting practices.
Key Responsibilities:
Payroll Processing:
- Process bi-weekly payroll for all employees, ensuring accuracy and compliance with federal, state, and local regulations.
- Handle all payroll-related transactions including deductions, benefits, and garnishments.
- Maintain employee payroll records and update any changes in employee status.
- Resolve payroll discrepancies and respond to employee payroll inquiries.
Accounting Support:
- Assist in the month-end close process by preparing journal entries, account reconciliations, and variance analysis.
- Record payroll-related general ledger entries.
- Collaborate with HR to ensure alignment between payroll and benefits accounting.
- Assist with audits by providing necessary payroll documentation and explanations.
Reconciliation & Reporting:
- Reconcile payroll-related accounts monthly (e.g., payroll bank account, payroll tax liabilities).
- Prepare monthly, quarterly, and year-end payroll reports as required.
- Assist with tax filings related to payroll, including quarterly and year-end tax forms.
Compliance & Research:
- Stay updated with federal, state, and local payroll tax regulations to ensure company compliance.
- Address any tax notices related to payroll.
- Recommend process improvements to create efficiencies and strengthen internal controls related to payroll.
Other Duties:
- Support Accounts Payable and Receivable when needed.
- Participate in special projects and ad hoc analyses as required.
Qualifications:
- Bachelor’s degree in accounting, Finance, or a related field preferred
- Minimum of 3-5 years of experience in an accounting role with a strong emphasis on payroll.
- Certified Payroll Professional (CPP) designation is a plus.
- Proficiency with payroll software and accounting systems.
- Strong understanding of payroll tax laws and regulations.
- Detail-oriented with a high level of accuracy and confidentiality.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively within a team environment.
