Job Details
The Executive Assistant will provide day-to-day administrative support to the Sandy Pine ownership team. The administrative work involves top level management exposure to highly sensitive information requiring considerable tact, discretion, judgement and confidentiality.
Job Duties/Responsibilities:

Maintain calendars for owners as needed, including scheduling meetings, appointments, and travel. Exercise discretion in committing time and evaluating needs.

Maintain daily changes to scheduled events and identify logistical issues and resolutions resulting from such changes.

Maximize the owners time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating phone calls on their behalf. Assess priority and time sensitivity of correspondence received. Exercise discretion handling confidential business materials as well as personal matters.

Coordinate travel arrangements, car services, hotel reservations, meal reservations and meeting sites. Evaluate and identify efficient travel plans, react quickly to cancellations or other disruptions, and accurately communicate travel details and changes.

Organize and prepare for meetings, including scheduling, gathering documents, distributing documents, and attending to logistics of meetings.

Attend appropriate meetings and take notes of discussion; prepare the initial draft of minutes and summaries.

Creates and maintains social media accounts (Facebook, Instagram, LinkedIn, etc.) to share positive images about the company, including managing our job posting platform needs.

Complete a variety of special projects including creating PowerPoint presentations, spreadsheets, special reports, and agenda material. Utilize proficiency in all Microsoft Office programs.

Keep the owners and leadership team members advised of time-sensitive and priority issues, ensuring appropriate follow-up.

Job Qualifications:
- 3-4 years of proven experience in administrative assistant capacity.
- Strong organizational skills and attention to detail, with the ability to work independently and within team environment.
- Excellent communication skills, both verbal and written.
- Effective prioritization and time management skills, including the ability to manage multiple competing priorities.
- Excellent customer service skills, with the ability to understand and proactively manage both internal and external customer needs.
- Experience coordinating and executing events, including presentation skills.
