Position Summary
The Vaccine Coordinator is a nationally certified medical assistant (MA) with vaccine related clinical and leadership experience who will monitor all vaccine related storage, handling, inventory, administration and ordering access. Their duties are performed under the supervision of Nurse Manager and Nurse Trainer. The Vaccine Coordinator (MA) primarily performs their responsibilities remotely, and in some occasions in-person at Sanitas’ facilities when needed, with focus on upholding quality patient care through safe vaccination practices.
Essential Job Functions

- Monitor vaccines entered into inventory logs in electronic medical record system eCW
- Ensure acceptable temperature ranges have been maintained at all facilities by reviewing logs and reports on a weekly basis and directly with each facility
- Guide facilities to rotate the vaccine inventory so that vaccines with shorter expiration dates are used first
- Ensure there are no expired vaccines in any of the facilities inventory
- Monitor VFC Program vaccines separate from private vaccine stock, if applies
- Promote and enforce routine cleaning on vaccine storage units
- Assure all Sanitas Facilities that house vaccines have available and in use a certified calibrated thermometer to review refrigerator and freezer temperatures including a datalogger thermometer
- Ensure temperature recordings are being manually recorded and datalogger reports are downloaded
- Support sites with excursion plan of action if temperatures are reported to be outside acceptable ranges
- Upkeep the Emergency Vaccine Management Plan and all related policies and procedures
- Perform physical inventory audits monthly of all vaccines in stock at a randomly chosen Sanitas facility
- Manage the vaccine inventory SharePoint log to ensure all facilities are recording daily doses of used, refilled, returned or transferred vaccines since the last order
- Upkeep the vaccine reports of purchases, administrations and billing for monthly Nurse Manager’s review
- Support Nurse Trainer in staff training on all aspects of vaccine management
- Enroll and create online ordering access to new staff designated by Nurse Manager
- Review Vaccine Readiness Assessment for new centers to start vaccination services
- Perform other duties assigned by the Nurse Manager as needed
- Must have leadership qualities and work independently
- Ability to think on their feet to solve vaccination related problems presented by staff
- Must be detail-oriented to ensure accuracy of reports and data
- This position requires traveling to Sanitas facilities to perform vaccine monitoring related activities.

Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
While performing the duties of this job the employee is regularly required to work standing up, walk, use hands to operate tools and equipment and must be able to exert regularly up to 10 pounds of force, frequently exert 30 pounds of force and occasionally exert 50 pounds of force to constantly perform the essential job functions. The employee will be frequently required to reach with hands and arms, bend, balance, kneel, crouch, crawl, push, and pull. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus. The employee is subject to environmental conditions; protection from weather conditions but not necessarily from temperature changes. The worker is subject to noise; there may be sufficient noise to cause the worker to shout in order to be heard above ambient noise level.
Required Education and Experience
- High School or Technical school education.
- BLS certification
- Proficient English reading and writing communication
- Reasoning ability, analytical skills and computer skills
- Graduated from a nationally accredited Medical Assistant (MA) program with active MA national certification
- Experience in Microsoft Word, Excel, PP.
- Experience with electronic medical records required
Preferred Education and Experience
- Experience with Vaccine for Children Program (VFC) preferred
- Experience with eClinicalWorks preferred
- Two (2) years Medical Assistant experience with vaccination in primary care setting highly preferred
