DSPS SPECIALIST

WELCOME TO SANTA MONICA COLLEGE! Thank you for your interest in joining the SMC team as a DSPS Specialist. This position coordinates support services for disabled students, provides information about the Disabled Student Programs & Services (DSPS) to students, faculty and the community and provides administrative support to staff.  This position is scheduled to work Monday through Friday, 40 hours per week, 12 months per year.

The ideal candidate will be student centered, be able to demonstrate an understanding of students with disabilities, detailed oriented and organized to manage coordination of DSPS support services and meet competing deadlines, possess strong technology, interpersonal and communication skills, knowledgeable of regulations governing students with disabilities, possess experience in DSPS operations. The incumbent will maintain collaborative relations, work in a team environment, be proficient with office systems including Microsoft Office, and to effectively communicate and explain information to others, both orally and in writing.

Salary Placement
New Employees: Generally, new employees start at the first step on the salary schedule. A new permanent classified employee may request a higher salary placement based on recruitment issues and/or additional training and experience which greatly exceeds the minimum requirements. Please note that salary placement above the third step requires additional approvals by Santa Monica College executive staff.

Current Employees: Upon promotion, the new salary for a current, permanent employee is based on Merit Rule 12.2.8. In accordance with this rule, employees are entitled to at least a one-step (5%) salary increase, and may be eligible for advanced step placement in accordance with established criteria.

About the Selection Process
The selection process will consist of a Scored Training and Experience Evaluation (Pass/Fail), (click here for more information on the training & experience evaluation process) and a Qualifications Appraisal Interview (weighted 100%). All candidates who meet the minimum qualifications and pass the Training and Experience Evaluation will advance to the Qualifications Appraisal Interview (weighted at 100%). Candidates must be successful on the Qualifications Appraisal Interview with a score of 70.00 or better for their name to appear on the eligibility list. 

The eligibility list created from this recruitment will be used to fill any vacancies that occur during the one year life of the eligibility list, including permanent and temporary positions. Santa Monica College reserves the right to modify the stated test components and weights prior to the administration of any test.

Test Retake Policy
Based on the District’s hiring needs, we may administer multiple recruitments for this job classification (or a related job classification that uses the same test(s)) within the next several months. Candidates must wait a period of 90 calendar days between testing appointments before retesting. Candidates who are ineligible to participate in an upcoming test or interview due to the provided retake period will be notified via email, and will have their highest valid score(s) on any non-weighted (pass/fail) test parts applied toward that recruitment.

Coordinates, schedules, facilitates, monitors, and provides instructional support services, such as note-taking, scribing, reader services, and tutoring as determined by authorized DSPS certificated staff in compliance with laws, regulations, codes, policies, and procedures.
 
Provides information to students, campus community and outside stakeholders regarding DSPS services; participates in the resolution of complex issues and supports outreach efforts.
 
Manages and maintains the student notetaking service by recruiting, selecting, reviewing applications, and ensuring payment of services of students and temporary help who provide support services to students with disabilities.
 
Refers students to appropriate staff or department for assessment of services needed; schedules appointments with certificated DSPS staff, prepares appointment files, monitors and manages staff schedules. 
 
Enters timecard information for students and classified employees and submits to payroll.
 
Requests and collects disability documentation from licensed medical professionals and outside agencies to ensure certificated staff has accurate student records to verify DSPS eligibility and make appropriate assessment.
 
Creates, organizes, maintains and monitors student files in compliance with established privacy and confidentiality requirements.
 
Creates and maintains forms, spreadsheets, databases, and documents related to disabled student services and department activities, such as staff work assignment schedule, inputs counseling faculty schedule, student notetaking requests, notetaking assignments for student and temporary help, proctor room schedules, and test scheduling for students needing scribes for exams.
 
Researches cost and availability of office supplies and alternate media products and equipment for student use; prepares and monitors requisitions and tracks supply expenditures and inventory.
 
Prepares, complies and maintains various descriptive records and reports on DSPS services provided to students with disabilities.
 
Performs other related duties as requested or assigned.
 
Examples of essential duties are descriptive and not restrictive in nature and are generally listed in descending order of importance.

 Education Requirement:
Two (2) years of college level coursework or equivalent.
Experience Requirement:
Two (2) years of experience performing specialized administrative or program support duties in a student services area. Experience working with students with disabilities in an educational setting is desirable.

Education/Experience Equivalency:
Experience and/or education of the same kind, level or amount as required in the minimum qualifications may be substituted on a year-for-year basis.
