Job Title: Studio Coordinator
Reports to: General Manager/Music Director
Overview:
School of Rock is the original performance-based music school founded in 1998 in Philadelphia. With more than 200 schools worldwide, it has a strong internationally recognized brand and is the largest after-school music education provider. Our mission is to help kids rock their world.
This fast-paced role is the administrative and marketing focal point for the School of Rock and requires outstanding customer service skills and the ability to juggle many tasks. Reporting to the General Manager/Owners, the Studio Coordinator assists with running the school and creating an enjoyable and safe place to be where students can learn performance-based skills in the music industry and where kids, parents, and staff can flourish.
Duties:
The Studio Coordinator shall be responsible for the day-to-day activities of the school including the following:
Studio Coordination
- Handle complex scheduling for busy music school
- Take attendance, check students in, and follow up on any students who do not show up for lessons and rehearsals
- Greet and look after students, as needed, particularly young students who should not leave school unaccompanied; make sure students leave with their guardian
- Assist GM/Owners with a wide variety of tasks as required in running front desk and reception are of the school, including but not limited to following up on leads, enrolling students, engaging parents and students, etc, when needed
- Schedule and lead tours with prospective students and parents and maximize conversion of leads to new students
- Handle opening and closing of the school
- Work on special projects, prepare reports, and other administration including billing
- Ensure the school is clean and presentable at all times; light cleaning and covid sanitation
- Check phone messages and answer phones and field inquiries; pitch the music program(s)
- Assist instructors and show directors with administrative tasks if needed and time permitting
- Assist during camps/workshops as needed
- Assist in ensuring school is well stocked with needed supplies
- Call al trial lessons for the next day to confirm they are planning to come
- Check for gaps in next day’s schedule and fill with makeup or try to close gap
- Send lesson links for any remote lessons the day before lesson
Marketing, Sales and Promotions
- Conduct ongoing grassroots marketing campaigns to increase student enrollment
- Conduct ongoing social media campaigns
- Create and distribute marketing collateral materials
- Manage ongoing marketing to prospect list
- Send communications and effectively promote shows/concerts via Pike, Outlook and with advertising, flyers, direct mail and other marketing materials
- Engage in music community outreach to provide guest artist opportunities for clinics and residencies
Relationship Management
- Customer Relations
- Responsible for assisting with student retention
- Communicate regularly with parents via marketing materials and social media on updates on school events and activities
- Routinely interact with students/parents to make certain their needs are being met
- Assist in overseeing student attendance to lessons, rehearsals and concerts
- Assist in handling and resolving customer relation issues
Candidate Requirements:
- Experience working Front Desk, Reception, and/or Customer Service role
- High detail oriented, multi-tasker, self-starter
- Welcoming, outgoing demeanor is essential
- Good team player who collaborates well
- Interested in music and related arts or experience working with young people a plus
- Hours 10-30 per week (i.e. Monday through Thursday, 2pm to 9pm with a sliding start end time depending on scheduled lessons, Saturdays 8:30am-3pm) and occasional Fridays and Sundays during seasonal shows.
