The Operations Specialist is responsible for receiving/sending and/or distributing clinical faxes per contract requirements and HIPAA policy. This position monitors fax machines/servers for documents as well as functionality (paper loaded). This person ensures accuracy of documentation prior to forwarding to appropriate party. All these duties help problem solve to ensure superior customer satisfaction. This position will also serve as the Front Desk Receptionist responsible for greeting all walk-in visitors in a courteous, professional and prompt manner.
Responsibilities
- Point of contact and management of fax server distribution for Service Coordination
- Maintain accurate market assignments to ensure faxes are distributed in a timely manner and to the correct SC representative and team
- Excellent time management and organization skills with attention to detail
- Ability to be resourceful and proactive to solve issues as they arise and with a sense of urgency
- Multitasking general office/front desk duties
- Work independently
- Welcome and great guests visiting the office, maintain visitor log, distribute mail, arrange package pickup, and accept office deliveries
- Ensure reception area is professional and presentable at all times
- Outgoing and friendly with professional appearance and personality
Knowledge, Skills and Abilities
- Computer literate with the ability to learn new software applications
- Ability to solve problems
- Requires the ability to understand, retain, and deliver information verbally and written.
- Excellent communications and customer service skills required
- Attention to details and ability to handle multiple tasks simultaneously
- Prior occupational health or workers compensation experience helpful
- Perform other duties as the situation dictates.
