Under the direct supervision of the SEAACA’s Management Team, the Front Office Supervisor (FOS) is responsible for the organization, planning and managing of SEAACA’s Front Office and daily operations. Duties include but are not limited to supervising, training, performance evaluations, coordinating monthly meetings, preparing payroll, scheduling, billing, processing revenue, revenue data accountability and inventory control. The FOS is a member of the supervisory team ensuring the proper utilization of all agency resources to provide prompt services to the public and employees of the agency, ethically and in accordance with SEAACA’s mission, goals, and management philosophy.
REPRESENTATIVE DUTIES:
- Manages and supervises daily operation of the Front Office.
- Analyzes workload during peak times and allocates staff and equipment appropriately for maximum efficiency.
- Works closely with SEAACA Field Services Division for optimum dispatch function.
- Provides team support to ensure quality customer service both onsite, by telephone and electronic communications, providing coverage to the Front Office when needed.
- Resolves customer service issues in SEAACA’s Care Center and on the phone.
- Monitors weekly deliveries to city hall and courts.
- Monitors adoption promotions and communicates with staff to ensure implementation of promotion and fees.
- Works with Adoption Partners and the public to ensure positive adoption experience.
- Participates in the hiring, training, evaluating, and disciplining of Front Office staff.
- Coordinates monthly safety meetings, agendas, and meeting minutes for the department.
- Monitors and orders inventory of needed office forms, retail, and office supplies.
- Processes daily revenue reports; prepare deposits; maintains daily, monthly, and yearly documentation; and coordinates monthly refundable deposits; plus creates necessary reports.
- Processes various transactions for animal adoptions, redemptions, and other services.
- Processes the Field Services Division after hours night deposit.
- Analyzes and organizes office operations and procedures including bookkeeping, personnel, information management and filing systems, financial and billing requisitions.
- Processes service requests/intake records and/or information.
- Operates various equipment such as telephone, two-way radio, computer, and telecommunications equipment.
- May assist in Field Services Division dispatching service calls in the SEAACA Dispatch Center.
- Monitors website for accuracy and photo inconsistencies, take appropriate action to rectify the issue.
- Other duties as assigned.
MINIMUM QUALIFICATIONS/EXAMINATIONS:
- A high school diploma from an accredited high school or General Equivalency Degree (GED) / California High School Proficiency Exam Certificate (CHSPE).
- No felony convictions or crimes of moral turpitude.
- Pass a pre-employment physical examination.
- Demonstrate a competent work history and attendance record in good standing.
- Pass an oral interview with a score of 70% or better.

- Knowledge and ability to navigate SEAACA Management Software’s and applications in computer programs such as Microsoft Office, Access, Word, and Excel.
- Ability to write effective business correspondence; create tracking logs, new forms, flyers/announcements, and professional documents and memos.
PHYSICAL REQUIRMENTS/ESSENTIAL JOB FUNCTIONS:
This is an office position. The successful candidate will sit at a desk for an extended period of time in front of a computer screen and the dexterity to use a keyboard in retrieving and entering data. Position also requires sitting, standing, walking, reaching, bending, and turning in the performance of daily office activities (including working with office equipment such as a copier). The ability to facilitate the physical movement of donations, files, paper, documents, and animal related supplies weighing up to twenty-five (25) pounds is required.
SPECIAL INFORMATION:
Employees in this job classification will be required to work rotating shifts, including early morning days, nights, weekends, and holidays. Hours normally do not exceed eighty (80) hours in any two-week period. Unbenefited during training period, not applicable to internal transfer.
ELIGIBILITY INFORMATION:
Initial appointment is contingent upon satisfactory completion of a physical examination, drug screening, and Live Scan background check. Hiring is contingent on the selected candidate passing a background check before a formal offer can be extended.

Based on a review of the applications received, the candidates appearing to be the most qualified and meeting SEAACA’s particular needs will be invited for an interview and/or written exam.
