Provides assistance to physicians, providers, and patients for the maintenance of the medical record, on paper and electronically, for all the Fred Hutch Cancer Center Clinics. Supports HIM functions including, but not limited to: scanning, transcription, hospital admissions, clinical consenting, external monitoring, and BMT daily census. Serves as liaison with providers, clinic staffs, patients, and external partners.

The HIM Specialist is responsible for Release of Information requests for continuing patient care or treatment. Opens, logs, and distributes mail, verifies valid authorization and pulls records for requests. Back up to Intake and some billing issues.
Responsibilities:
  • Responsible for chart creation, maintenance, and breakdown for all the Fred Hutch Cancer Center Clinics, on paper and in electronic formats.
  • Responds to requests for charts and patient information from providers, clinics, and facilities as needed and in accordance with HIM policies, Federal and Washington State laws.
  • Supports HIM processes as assigned in the areas of:
    • Printing and distribution of transcription.
    • Participating in any and all aspects of scanning.
  • Meets productivity standards as determined by HIM leadership.
  • Performs other reasonably related HIM duties as assigned by HIM leadership.
  • Assists with cross coverage in the HIM department by training others and learning new tasks.
  • Collects patient records from clinics and brings to HIM for inclusion in patient charts.
  • Processes Release of Information requests for continuing patient care with the proper.
  • Opens mail, verifies valid authorization, logs mail into vendor system and pulls records to be processed.
  • Logs information released into disclosure log.
  • Acts as office Greets visitors, including walk in customers, and offers assistance. Answers phone using defined etiquette standards; routes calls and takes / relays messages. Answers questions and follows through on inquiries. Opens, sorts, and distributes incoming department mail.
  • Attends department meetings and in-service programs, including participating in taking and typing minutes in rotation cycle.
Qualifications:
Required:
  • Associate of Arts Degree in Health Information Management or complimentary field of study; or equivalent work experience.
  • Minimum requirement: High School graduate or GED.
  • Prefer Associate Degree in Health Record Management.
  • Minimum one year in healthcare environment.
  • Typing: 40 wpm with accuracy required, verified via pre-employment.
  • Medical terminology required (either from experience or formal classes).
  • Critical thinking, decision-making skills, problem solving skills, billing issue resolution.
  • Highly organized and detailed oriented with ability to work on multiple tasks simultaneously.
  • Demonstrates proficiency with computer data entry skills.
  • Ability to interact with many types of internal and external customers in a flexible, accommodating manner.
  • Demonstrated ability to communicate well (in both verbal and written formats) with patients, staff, and providers.
  • Knowledge of health information management operations and HIPAA guidelines.
  • Demonstrated ability to exercise independent judgment based upon departmental policies and procedures.
  • Familiar with Microsoft Office Suite applications, ORCA, Epic, Mindscape, and scanning software.

Preferred:
  • Bachelor's Degree in Health Information Management or equivalent work experience.
  • RHIT/RHIA.
  • Prefer RHIT (Registered Health Information Technician) from AHIMA (American Health Information Management Association).
  • 2 years Medical Record Release of Information experience preferred.

SCCA has a mandatory COVID-19 vaccination policy, and there are no exceptions for any employee who is patient-facing and/or requires access to SCCA facilities.
