Job Summary
Share seeks an experienced, organized and tech-savvy Database and Development Coordinator to support the organization's overall fundraising objectives and be an integral member of Share’s Development Team. The Development Team is led by the Director of Development & Communications (DODC) and includes the Director of Volunteers & Community Resources, Special Events Manager, Development Coordinator, Volunteer Coordinator, Volunteer and Nutrition Coordinator, Community Relations Director, and the Grant Writer.
The Database and Development Coordinator will be part of a development team that raises over two million dollars annually to support the programs and services of Share. They will serve a primary supportive role overall to the success of fundraising at Share and will ensure accurate gift recording and acknowledgements. They assist with correspondence, mailings, and all requested administrative tasks. High standards of professionalism, confidentiality, communication, accuracy, and self-direction are required. Must be reliable and conscientious in carrying out assigned duties. Requires the ability to maintain record systems, and to communicate both orally and in writing to a variety of people.
Summary of Essential Job Functions and Responsibilities
- Manage all donation processing and receipting, prepare and send donation acknowledgement letters.
- Manage information tracking processes regarding acknowledgement, recognition, and on-going communications of past and current donors.
- Work with DODC on increasing annual revenue from Share’s monthly giving campaign. Also strive to increase monthly donors.
- Support donor solicitation, stewardship activities and schedule donor meetings.
- Manage data integrity of donation information, and data input, while adhering to departmental policies and procedures.
- Work with DODC and the Development Coordinator on the We Share Major Gift Program, which includes donor cultivation and stewardship, tracking benefits and assisting with coordination of member events, tours, annual meeting, etc.
- Help to determine the best strategies for effective stewardship of donors.
- Work with DODC on donor cultivation activities.
- Sorts and routes incoming mail.
- Create, maintain, and execute queries and reports that track fundraising progress.
- Attend and participate in the Strategic Engagement Committee meetings.
- Prepare the classroom for the monthly board meetings, take and transcribe the minutes (last Tuesday of every month from 5 to 7 pm).
- Serve as the point person for list management and execution for mailings, newsletters, e-communications, etc.
- Enter donations received through multiple channels, such as Facebook, Greater Giving, etc. Thank donors through Facebook and contact donors for addresses to update NEON, our donor database.
- Gather donor and donation information to build event, appeal, and end of year dashboards.
- Work with the Finance team to audit and reconciliation dashboards and monthly donation reports.
Events
- Support the Special Event Manager on tasks associated with annual fundraising events – annual gala and Soup’s On. Tasks include but are not limited to supporting sponsorship solicitation and sponsorship tracking and coordinating sponsorship deliverables.
- Assist Development Coordinator with auction procurement to generate in-kind donations from local and national companies through phone calls, emails and online applications.
- Work in Greater Giving to track ticket sales and sponsorships.
- Work with the DODC and Special Events Manger on guest table placements.
- Work the day of event as the lead of check-in/check-out, oversee and train check-in/check-out volunteers.
- Attend and participate in event related committee meetings.
Communications
- Take photos of pertinent Share activities, check presentations, etc. and make posts on Facebook as needed.
- Make donor calls directly to thank them for their support and donations.
- Handwrite thank you cards to donors.
- Create and send eblasts for our We Share and Fundraising events, including invitations and “Know Before You Go” eblasts
In-kind Resource Development
- Back-up the volunteer department as needed to greet donors with in-kind donations at the front desk and assist donors with warehouse delivery.
Other
- Assist the Volunteer Team with receiving wish tag items, gift cards, etc.
- Greet donors and provide tours as needed.
- Represent Share at off-site community events as needed.
- Provide monthly activity report for monthly Board Development Update.
- Support additional development, marketing and organizational activities as assigned by the DODC.
- Support the Volunteer Team when needed with volunteer projects, meal & nutrition program support and other department support.
- Other duties as assigned.

Minimum Requirements
- Bachelor’s Degree preferred. High School Diploma required.
- A minimum of two years’ experience working in a development department for a non-profit organization or related administrative experience.
- Donor database required, NEON and Greater Giving experience preferred.
- Familiarity with gift processing and/or fund-raising principles
- Working knowledge of all Microsoft Office programs (including Word, Excel, Outlook and PowerPoint).
- Understanding of Share’s mission, culture, history, programs and clientele.
- Valid driver’s license and the ability to pass a criminal background check.
