What are the responsibilities and job description for the Fleet Logistics and Accounting Coordinator position at Shinto Landscaping LLC?
POSITION SUMMARY
The position of Fleet & Equipment Logistics Accounting Coordinator will be responsible for working directly with the shop manager and with our outside fleet management company to coordinate the addition, disposal, and maintenance of the company’s vehicles and equipment. This includes monitoring all pertinent expenses, tracking, and maintaining inventory, as well as reviewing all accounting transactions associated with the vehicles and the equipment. The position will report to both the Chief Operations Officer and the Financial Controller.
GENERAL RESPONSIBILITIES
· Works with outside fleet management to maintain and ensure that all records in their dates are accurate and up to date. Also work with them in the coordination of adding or replacing vehicles in the fleet.
· Coordinate with outside fleet management any needed repairs for vehicles and equipment and works closely with the managers, to ensure a seamless process of work scheduling of preventive maintenance on company vehicles.
· Provides a method for drivers to immediately report vehicle mechanical issues or problems encountered and coordinates with outside fleet management company as how to best handle these repairs. Also handles getting any rental vehicles if necessary.
· Works with accounting to ensure vehicle and equipment invoices and expenses are coded to the correction branch and department.
· Participate in the preparation and administration of the vehicle and equipment budget and expenditures.
· Maintains and monitors fueling program to include fuel cards, agency fuel sites, and reconcile fuel invoices and assigns proper coding for accounting
· Maintains and monitors tolls costs by making sure that vehicles license plates and transponders are registered with SunPass. Also reconciles these invoices monthly and assigns proper coding for accounting.
· Ensures all vehicle state registrations are current and hard-copy vehicle titles are maintained.
· Make sure all paperwork inside the vehicle is current (i.e. registrations, insurance cards)
· Ensures all driver’s licenses are current and checks driving records twice-a-year to ensure compliance.
· Works with insurance agency to provide any changes in vehicle status such as adding or deleting vehicles. Also coordinates between operations and the insurance company to provide information in the event of any accidents.
· Be the main point of contact to support fleet needs as well as provide support and solutions to all vehicle related questions.
· Help with setting up, utilizing, and maintaining all vehicle and equipment data and information in the company’s ERP system.
· Maintain an effective inventory of all equipment/tools by branch location, department, and crew by utilizing a bar code inventory system
· Work with management in figuring out better ways to secure and protect company’s assets.
· Additional duties may be assigned as needed
QUALIFICATIONS & EDUCATION
- BS Management/Accounting or related experience
- Extensive knowledge of Microsoft Suite – Strong knowledge of Excel – Pivot tables preferred
- Outstanding communicator, both orally and written
- Self-starter who works well independently
- Ability to prioritize given tasks and work efficiently towards completing them
- Familiar with common office equipment (printers, copier, fax, etc.)
- Detail-oriented and exceptional organization skills
- Strong problem solver and analytical thinker

LANGUAGE ABILITY
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
WORKING CONDITIONS/PHYSICAL DEMANDS
The employee may occasionally lift and/or move up to 20 pounds and occasionally lift and/or move up to 20 pounds. While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit and/or stand, occasionally walking. Pay: $52,000.00 - $55,000.00 per year
