Summary:
Answer reception telephone, screen and direct calls. Manage Reception area, receiving visitors and dealing with inquiries in professional manner. Provide general clerical and administrative assistance for Executive staff, Marketing and Accounting departments.
Essential Duties and Responsibilities:
- Reception telephone calls – screen calls and direct them to destination or to voice mail. Take and relay messages.
- Deal with inquiries from callers or public and direct to appropriate personnel.
- Greet visitors to business and direct to appropriate destination.
- Receive and distribute incoming mail and deliveries.
- Receive and post outgoing mail and packages. Track and maintain postage meter usage and supplies.
- Perform a variety of clerical duties, which include:
- Fulfill and mail requests for literature and marketing materials
- Data-entry of leads received through company internet site and customer service/sales.
- Prepare paperwork and send out Fed Ex and UPS packages as requested.
- Make copies, collate and assemble printed materials as needed
- Assist with company direct mailings – assembling materials, folding, stuffing, posting.
- Oversee copy machine upkeep and Fax distribution.
- Keep record log company vehicle usage and keys.
- Maintain record of conference room scheduling.
- Ensure knowledge of staff movements in and out of organization
- Control inventory relevant to reception area supplies
- Maintain company personnel phone list of numbers and extensions
- Maintain a tidy reception area appearance
Some additional responsibilities to consider:
- General administrative duties to support Executive team, including but not limited to, travel, board meeting preparation, filing and correspondence.
