POSITION SUMMARY:
The Admin Assistant is responsible for order entry through shipment process including post shipment issues. Constant communication with customers and all internal departments to ensure orders are being shipped on time to committed dates. Provide daily support to Sales Department and respond to all requests in a timely manner.
ESSENTIAL JOB DUTIES:
- Answer telephones, screen and direct calls, as well as, take and relay messages.
- Provide general clerical and administrative support to all levels of the Sales, Fabrication, Assembly and Accounting Department.
- Provide daily administrative support to the Sales Team and respond to all requests in a timely manner.
- Review, approve and enter incoming Purchase Orders accurately and efficiently into an order entry system ProCim and Fems.
- Manage the order entry through shipment process.
- Communicate with Sales Team and customers in regards to ship dates, long lead times and expedite requests.
- Prepare and send order confirmations.
- Maintain customer database in ProCim.
- Prepare reports for the Sales Supervisor as needed.
- Interact with managers, co-workers, vendors, etc. in a professional manner.
- Perform other duties as assigned
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities requires.
- Knowledge of clerical and administrative procedures.
- Knowledge of consumer service practices and principles preferred.
- Excellent written and verbal communication skills.
- Organizing, planning, and customer service-oriented.
- Associates Degree preferred or high school diploma required.
- 2-3 years experience as Administrative Assistant with data-entry responsibilities preferred.
- Excellent computer skills: Microsoft Word, Excel, and Outlook and ability to learn new skills especially ProCim Software.
- Ability to type at least 35 wpm.
- Must be detail-oriented and able to multi-task.
- Provide excellent internal and external customer service when representing Sierra Circuits, Inc.
- Ability to perform at the highest level in a fast-paced environment and work with minimal supervision.
