Title: Administrative Assistant

Reports To: Administrative Director

Location: Pensacola, FL

Compensation: Hourly, Non-Exempt

Supervises: None

Position Summary:

An administrative assistant will be highly motivated and driven to excel in the administrative tasks that are assigned with a goal of high performance to increase the overall efficiency of businesses.

Soft Skills:

· Visioning: Understanding the big picture and requirements necessary to drive company success and exude company values, goals, and purpose.

· Strategic Planning: Effective engagement, communication, planning and execution of daily administrative responsibilities while meeting established deadlines.

· Financial Acumen: Understanding company measurements while executing the necessary behaviors to drive performance.

· Team Development: Communicate with management effectively and promptly, receiving and relaying feedback and executing follow up as needed.

· Project Management: Complete understanding and execution of daily tasks and efficiently delivering services that meet the needs of the business.

Responsibilities:

· The Ability to consistently arrive on time for shifts, clock in and out, meet time commitments, follow instructions, follow dress code and appearance standards and expectations.

· Have a winning attitude and a drive to consistently perform.

· Must have a phenomenal attitude with a customer-focused mindset and be coachable.

· Excellent written and verbal communication skills.

· Excellent time management skills and the ability to prioritize work and take initiative to complete assigned tasks or other items that need to be completed.

· Strong organizational skills with the ability to multi-task.

· Excellent computer skills with the ability to learn company-used programs to complete task.

· Must be able to type and use Microsoft products, such as Excel, Word, and Outlook, PowerPoint, effectively.

· Knowledge of office equipment, like printers, scanners and computers.

· Billing of clients on set terms and conditions.

· Interacting with external customers cultivating a customer service relationship striving to provide peace of mind, as well as collection activities to ensure payments are being received timely.

· Consistently communicates with the management team to keep apprised of any concerns or recommendations for improvements that are in line with job responsibilities.

· Responsible for the inventory list of any and all company owned equipment to include but not limited to company passwords for devices such as computers, cell phones, and/or email addresses.

· Manage daily activities while meeting key benchmarks and expectations set by the Administrative Director.

· Payroll of all company employees to include but not limited to reporting employee deductions timely and answering employees as needed.

· Manage all job postings for each company owned market and assist with recruiting of applicants as needed in various markets utilizing Indeed and other programs.

· Accept phones calls and route appropriately when needed.

· Review employee files to ensure it is up to date.

· Review the Florida Employee Action and ensure it is up to date weekly.

· Other duties as assigned.

Requirements:

  • 21 years of age or older
  • High school diploma or GED
  • Pass background check and drug test as required
  • Must have reliable transportation
  • Complete training modules within first month
  • Excellent organization, oral, and written communication skills
  • Demonstrate a commitment to service, organization values and professionalism through appropriate conduct and demeanor at all times

Job Type: Full-time

Pay: $16.00 - $18.00 per hour
