Job Summary: Carry-out the bi-weekly payroll process. Responsible for the integrity of payroll data, and the integration of that data with the general ledger. Operate in a matrix environment spread over five states. Responsible for analysis of general ledger accounts including some cash accounts, withholding liability accounts and benefits allocations. Responsible for the preparation of data for management reports used by the senior staff. Assist with various accounting and administrative special projects.
Essential Functions:
- Manage the bi-weekly payroll process.
- Review, analyze, and correct time-keeping data.
- Process employee data provided by Human Resources.
- Input payroll specific data.
- Keep payroll software and timekeeping software data synchronized.
- Process and transmit the payroll, troubleshooting any issues that may arise.
- Review the completed payroll for accuracy and send out checks/vouchers.
- Manage and troubleshoot the timekeeping system. Work with the state management staff to assist in the training of new management staff in timekeeping and to coordinate resolution of timekeeping problems.
- Prepare analysis of liability accounts to ensure that employee deductions, including 403b, loan payments, SJCS donations, medical, dental, and others are properly recorded in the general ledger.
- Design reports in order to provide comprehensive payroll reporting solutions.
- Analyze ongoing payroll system issues and problems. Propose and implement solutions to these issues and problems.
- Prepare manual checks in an accurate and a timely fashion. Prepare the manual check log and keep data on the reasons manual checks were needed.
- Perform necessary year end procedures to ensure that accurate information is reported on employee W2s.
- Prepare the extraction and posting of payroll data into the general ledger.
- Assist with and/or manage various accounting and administrative special projects.
- Performs other job related duties as assigned.
Secondary Functions:
- Communicate procedural changes to home office and state office staff as needed.
- Assist in the creation and updating of the payroll procedural manual as needed.
- Focus on continual process improvement to strive for departmental efficiency.
- Participate in the Payroll and Timekeeping Total Quality Management process.
- Performs other job related duties as assigned.
Qualifications
Required Knowledge, Skills, and Abilities:
- Ability to work under deadlines.
- Working knowledge of Excel, Solomon IV, Word, Outlook, ADP (or similar payroll software), ADP E-Time or similar timekeeping software, and ADP Report Smith or similar reporting software.
- Excellent verbal and written communication skills
- Must be able to prioritize tasks to meet deadlines, while streamlining processes to improve departmental efficiencies.
- Excellent communication skills and customer service skills are required.
Education and Experience:
- High school diploma or GED is required
- A college degree in a related field is preferred
- A minimum of 3 years of related experience is required
- Working knowledge of ADP payroll software (or similar payroll software) and ADP E-Time timekeeping software (or other similar software) is required. Payroll experience must include processing payroll, balancing quarterly payroll tax reports, year end procedures, and researching and resolving various payroll errors.
