What are the responsibilities and job description for the Executive Assistant position at SkyOne Federal Credit Union?
We have an exciting full-time job opportunity for an experienced and professional Administrative Assistant that thrives in a fast-paced and results-oriented environment. This position reports to the Vice President of Administration. A key function for the Executive Assistant is to provide backup support to the Executive Assistant to the CEO. This person will also provide administrative support to the Vice President of Administration and the Executive Leadership Team.
Essential functions include:
- Provides administrative assistance to the Board of Directors, Supervisory Committee, and Volunteer At-Large Members.
- Provides support for the Executive Assistant to the CEO in the handling of travel arrangements for the Board of Directors, Supervisory Committee, and Volunteer At-Large Members as requested.
- Provides support for the Executive Assistant to the CEO in the coordination, creation, and distribution of the monthly electronic Board packets, bi-monthly Supervisory Committee packets, and ALCO packets.
- Provides support for the Executive Assistant in the preparation for and coordination of the monthly Board meetings.
- Provides support for the Executive Assistant in the handling and dissemination of all information from President & CEO to Board of Directors, Supervisory Committee, Volunteer At-Large Members, management, and staff.
- Provides support for the Executive Assistant in ensuring that information on the Volunteer website is current and new information is added on a timely basis.
- Provides support for the Executive Assistant in the preparation of expense reports for Volunteers.
- Provides support for the Executive Assistant in drafting correspondence for the Volunteers and President & CEO.
- Provides to the Executive Assistant in coordinating Volunteer related training programs as requested.
- Provides to the Executive Assistant in managing communication to Volunteers.
- Provides support for the Executive Assistant in the handling and coordination of the President & CEO's schedule and travel.
- Prepares accurate reports and projects as assigned by the Vice President of Administration.
- Assists in the development and implementation of various projects assigned by the Vice President of Administration.
- Updates and maintains Connections Online on a timely basis.
- Gathers information such as surveys, comparative statistics, industry data, etc.
- Schedules appointments, meetings, and travel for the Senior Leadership team as requested.
- Captures minutes at various monthly meetings as required.
- Provides administrative support for the Executive Leadership Team as needed.
- Professionally answers, refers phone calls, and creates a consistent and positive image within the workplace.
- Establishes and maintains business relationships with appropriate business partners.
Qualifications
- Minimum five years of administrative experience.
- Must have excellent written and verbal communication skills.
- Formal education in business is preferred.
- Must be P.C. proficient and have extensive knowledge of MS Office (Word, Excel, PowerPoint, and Outlook).
- Extensive knowledge in Excel-pivot Tables and V-Lookups
- Must be detail-oriented, with strong organizational skills.
- Professional telephone skills required.
- Experience in public relations is preferred.
- Ability to type 45 words per minute.
- Excellent interpersonal communication skills a must.
- Must be flexible and self-motivated.
- A high degree of confidentiality.
