Job Title: Facilities Coordinator

Our fast-paced, highly collaborative Operations team is seeking a full time Receptionist who will provide organizational and administrative support to our growing office. The individual in this role is a people-person committed to developing a strong relationship with the Corporate Services Operations team and acts as a liaison between many Operations teams housed in the Seattle offices. A successful candidate thinks ahead, acts resourcefully, and represents the face of Slalom as they welcome candidates, clients and guests.


Responsibilities

Office Operations

  • Triage ServiceNow tickets, using metrics create reports that allow team to see progress of tickets, prepare information from ServiceNow tickets for SME, and general troubleshooting
  • Reservations external and internal for Slalom Teams
  • Liaises with executives, business leaders, operation teams and departments to be armed with up-to-date information for on-demand questions and requests
  • Partners with the Spaces Program Team to build and maintain building and vendor relationships
  • Communicates regularly with building management, internal employees and vendors regarding facility-related asks and issues
  • Orchestrates and manages new-hire and guest access to the building
  • Provides event and executive support, as needed
  • Proficiency in writing and developing business standards
  • FedEx and other shipping

Administrative Skills

  • Greets new hires, candidates, clients and guests in a friendly and helpful manner
  • Employee access badge distribution and collection
  • Keeps the reception, welcome and copy center space organized, stocked and clean
  • Supports office assistant
  • Performs administrative/clerical tasks such as data entry, scheduling, arranging rooms, document organization, scanning and other project-based work, as needed
  • Serves as Slalom’s gatekeeper for phone inquiries

Purchase Manager

  • Approves office supplies & mailing invoices
  • Approves orders for other Slalom offices
  • Orders miscellaneous items as needed

Vendor Relationships:

  • Shipping (FedEx)
  • Parking (CPS & Norton Garages)
  • Office Supplies (Staples)
  • Certified Mail (USPS)

Requirements

A successful candidate has these checked off:

  • College Degree or relevant work experience
  • Excellent verbal and written skills in order to effectively communicate with all levels of the company
  • Prior experience working in a fast-paced environment
  • Time to put in 40 hours/week with expected paid overtime
  • Hours: 7:45am – 5pm w/lunch and scheduled breaks
  • Some flexibility on work schedule
  • Ability to lift and move 30 lbs
  • Reliable transportation
