What are the responsibilities and job description for the Facilities Associate position at SmartLabs?

We are seeking a self-motivated, high achieving facilities maintenance professional . The Facilities Associate will be hands-on, on the day-to-day maintenance and improvement of SmartLabs buildings and facilities. Reporting to the Facilities Manager the Supervisor at either our 40 Guest Street, 6 Tide Street or 21 Erie Street location, they will ensure the building and facilities remain safe, functional and at the optimum standard for our members.

KEY ACCOUNTABILITIES

Provide general overall facility management services, including continuous monitoring of office and labs.

Address member inquiries and concerns ensuring timely and quality issue resolution and service delivery and follow up with members to ensure customer satisfaction.

Respond to all facility inquiries and complaints, assess problems and take the necessary corrective action.

Ensure compliance with SmartLabs standards and procedures across the building. For example, by updating the various databases and calendars. Report on open and closed work orders and check the status of open work orders with the assigned party.

Coordinate and maintain on-going communication with members, SmartLabs team and outside contractors for the service and repairs and provide project status updates.

Follow protocol for effective building-specific maintenance and safety.

Assist with site inspection and schedule and document maintenance and repairs on building equipment.

Understand what the daily activity our site and Labs is being able to communicate any disruptions when needed.

Provide general facility support by fulfilling routine light maintenance work orders; such as room set up, moving office equipment and furniture or repairs.

Monitor check and assess the building facilities regularly by conducting facilities inspections and following proper procedures to ensure that the facilities meet company and legal safety regulations.

Build and maintain strong relationships with members to better understand their needs and areas of improvement for our service.

Manage lab coat and towel services with outside vendor. Make sure that sufficient inventory is on site and distributed.

Managing printers, copiers, meeting spaces and equipment.

Maintain daily electronic record of incoming packages which shall include date of arrival, recipient company, carrier, tracking number, and sending company.Coordinate with outside vendor’s personnel to assure; Delivery of nitrogen, CO2 other gases liquid nitrogen tanks.

Maintenance of pH neutralization system and coordinate semi-annual sampling.

Weekly waste collection with our outside vendor.

Maintain cleaning schedule, especially when additional or special cleaning requirements are requested by tenants.

Requirements

Qualifications

High School diploma

Experience in customer service in a fast-paced environment

Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

Work requires periods during which physical exertion is required, such as lifting and maneuvering of equipment, some of which may be heavy or awkward

The ability to lift 50 pounds

Strong sense of responsibility and ability to complete tasks with minimal supervision

Highly Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
