Role & Function
The Marketing Operations Coordinator reports to the Associate Director, Marketing Operations and will be primarily responsible for facilitating the review of materials through Sobi’s cross-functional promotional review process. The Sobi Review Committee (SRC) is the process by which all external materials and communications about Sobi and its products are reviewed for accuracy and compliance. The Coordinator will be responsible for routing materials through Sobi’s electronic review system (Veeva PromoMats), providing guidance to internal and external partners around the process and system, facilitating live review meetings and documenting edits and decisions, generating reports to capture metrics, and maintaining a clean document library. Additionally, the Coordinator will help in creating training resources, reports and additional ad hoc projects to support the SRC process.
Key Responsibilities
- Work with marketing teams and review committees to prioritize the review of materials
- Create and distribute meeting agendas for live SRC review meetings
- Facilitate and moderate live discussions about materials and concepts, driving consensus and documenting decisions and edits in real-time
- Provide guidance to internal partners and external vendors around the SRC process and review system
- Maintain and perform regular upkeep of Sobi’s document library of approved materials
- Track material expirations and periodic reviews
- Support the planning process to accommodate the review of high volumes of materials in advance of product launches, sales meetings, new campaigns, and other priorities
- Other responsibilities as assigned
Qualifications
- Bachelor’s degree or equivalent level of experience
- ~2 years of experience in a pharmaceutical/biotech company within a commercial organization
- Exceptional communication and problem-solving skills
- Previous experience facilitating meetings and creating agendas
- Experience using Veeva cloud software or similar document management system
- Demonstrated experience providing exceptional customer service, either internal or external
- Excellent time management skills with a proven ability to meet deadlines amidst shifting priorities
- Preferred Qualifications: • Previous role within Marketing Operations or Commercial Operations a plus• Experience building and maintaining relationships across an organization• Project management experience a plus• Administrator experience with Veeva Vault PromoMats system Previous experience analyzing data and tracking metrics
