Summary

The Sales and Catering Manager will report to the Director of Hotel Operations be responsible for both the Sales and the Catering departments’ daily operations. This is an advanced position designed to provide support to the Director of Hotel Operations in the oversight of the Sales and Catering team in conjunction with managing the position’s sales responsibility. The primary and direct focus will be on soliciting new business, maintaining existing business, and generating new revenues through outside sales calls and telemarketing, in order to meet or exceed monthly and yearly budgeted figures established for Sales and Catering. The position will serve as a liaison between customers, the Sales and Catering team, and other departments throughout the resort.

Duties/Responsibilities

  • Implement an effective sales and marketing strategy, ensuring maximum guest service and satisfaction and optimum occupancy of hotel, catering services, and banquet rooms while driving casino floor traffic during peak and off-seasons.
  • Respond to sales leads in a timely manner and follow up to ensure guest satisfaction.
  • Create, propose and implement group and individual sales packages, as well as negotiates contracts with potential guests.
  • Conduct Hotel tours and banquet facility tours and entertains qualified potential clients during Site Visits and events/meetings, in accordance with company policies and procedures.
  • Assist in the organization of, and attends, pre-convention meetings for each group with special needs; ensures that all clients are contacted during conventions or special events, and solicited for future business.
  • Prospect for new business and maintain existing/repeat business, through telemarketing, correspondence personal contact, and attending trade shows and networking events.
  • Build professional relationships through networking via chamber of commerce meetings and events, trade shows, bridal shows, and community involvement.
  • Travel to areas where there is potential business, developing the territory as thoroughly as possible, as requested to do so by management.
  • Facilitate the flow of information throughout the Sales and Catering Departments, by attending regularly scheduled departmental meetings.
  • Generate correspondence, contracts, proposals, reports and other miscellaneous paperwork.
  • Ensure a maximum level of service and satisfaction, throughout the Hotel, is achieved and maintained.
  • Develop and maintain a good working relationship with convention meeting planners, to ensure that special needs and requests are met.
  • Responsible for maintaining a consistent, regular attendance record.
  • Must be physically present to work a regular, reliable, and predictable work schedule in accordance with business demands, and maintain a consistent and regular attendance record.
  • Perform special projects and other responsibilities, tasks, or duties as requested.
  • Assist with creating and participating in quarterly and annual Sales Blitzes and Promotional campaigns in partnership with the Marketing Department.
  • Oversee the accuracy and completion of Banquet Event Orders by Sales and Catering team.
  • Finalize contracts ensuring that appropriate credit authorizations have been obtained.
  • Collect deposits and payment from clients and route to Accounts Receivable. Rent or purchase all special request items such as A/V equipment, chair covers, linens, decorations & floral, wedding cakes and any other items rented or sold to clients.
  • Assist where necessary with banquet events and meetings to ensure successful execution.
  • Ensure that a Sales and Catering team member provides an in-person presence at Banquet Events to ensure client’s needs are met as contracted.
  • Responsible for ensuring a Sales and Catering team member is overseeing the set-up and execution of all Banquet functions in the absence of the Banquet Captain.
  • Provide a professional image at all times through her/his communication, hygienic appearance and dress.
  • Ensures the presence of a Sales and Catering team member to all clients upon commencement of their function to ensure all details have been properly executed.
  • Follow up with via feedback surveys mailed to clients to ensure satisfaction.
  • Review and respond to client surveys to gauge customer satisfaction levels and to act to correct issues.
  • Keep the Director of Hotel Operations updated via the bi-monthly Sales and Catering updates.
  • Responsible to provide reports on a weekly, monthly and quarterly basis. Reports include, Banquet tracking chart, Sales Call Journal, RFP update, and any other reports assigned by the Director of Hotel Operations.
  • Maintain data management systems Delphi and Visual One to track and manage information of clients.
  • Oversee the collecting of all deposits and payments for events and ensure all payments are applied to the proper account and posted correctly in the Agilysys systems.
  • Ensure that all invoices pertaining to the Catering and Banquets are reviewed by appropriate Sales and Catering team member and are coded correctly.
  • Responsible for completing payroll time edits and approval each pay period.
  • The Sales and Catering Department is open, Monday through Saturday from 8:30am to 5:30pm and by appointment on Sundays.
  • Must work a minimum of five (5) days a week and may be required to work on weekends, holidays and high occupancy days as instructed by the Director of Hotel Operations.
  • Due to the nature of Hotel operations The Sales and Catering Manager may be required to work more than 5 days a week due to high demand.

Supervisory Responsibilities

  • Supervise, hire, train, coaches, and disciplines Sales and Catering team.
  • Maintains proper staffing levels and performance.
  • Periodically checks on functions to ensure guest satisfaction.
  • Establish a good working relationship with the banquet teams.

  • Serve as a contributing Team Member of the Soboba Band of Luiseño Indians enhancing the Casino’s operations in all its business endeavors.

Education / Qualifications

  • Must be 21 years of age, or older.
  • High School Diploma or GED equivalent required.
  • A minimum of 2 years’ experience in Sales or Catering required.
  • A minimum 2 years supervisory experience in Sales and Catering required.
  • Advanced experienced in Microsoft Office programs preferred.
  • Advanced math skills and have the ability to handle money and operate a point-of-sales system.
  • Experience in Agilysys POS/PMS a plus.
  • Must be able to provide evidence of eligibility to work in the United States of America.

Certificates, licenses and registration

  • Ability to obtain and maintain a valid Soboba Tribal Gaming Commission license.
  • Required to submit to and obtain negative results on all drug and/or alcohol testing.
