Manhattan based residential property management firm is seeking a full-time project coordinator to support the project management team. Essential duties, responsibilities and qualifications are outlined below. Projects are located primarily at residential condominium and cooperative properties in Manhattan and Brooklyn. Occasional local travel to job sites will be required.
This is an early career level position.
Projects include building-wide capital improvements, such as FISP / Local Law 11 and façade repairs and restoration, CHP/cogeneration buildouts, roof replacements, building-wide window replacements, electrical and mechanical system upgrades, lobby and interior hallway renovations.
DUTIES AND RESPONSIBILITIES
- Act as a liaison between project teams and the client — communicate and coordinate with architects, engineers, contractors, expediters, and vendors as directed by the project management team; traffic requests for proposals and handle requests for information.
- Schedule, attend, and memorialize project team and stakeholder meetings — schedule and attend meetings and conferences; take notes and draft meeting minutes and project update memorandums.
- Draft basic project related communications and memorandums to building residents and owners.
- Project accounting and invoice processing — track and update project expenses and spreadsheets; prepare for review and process project vendor invoices and payment applications; generate, finalize, distribute, and process client invoices.
- Administratively support the Project Services team — hard copy and electronic document filing, organization, and trafficking; coordination of USPS mailings, FedEx shipments, messengers; other administrative tasks as required.
REQUIRED SKILLS/QUALIFICATIONS
- B.A. or Associate degree related to architecture, real estate property management, civil engineering or construction project management preferred.
- While this is an early career level position, ideal applicants should have some interest and/or experience working in connection with residential or commercial construction projects in New York City in an assistant capacity, either on the contractor, property manager or owner’s representative side.
- Be highly organized, and detail-oriented with the ability to handle multiple tasks and meet project deadlines.
- Good judgment and ability to develop common sense solutions to problems.
- Excellent written and oral communication skills.
- Basic project accounting and budget management skills.
- Microsoft Office Suite and Adobe Acrobat skills. Basic Excel skills are necessary.
- Experience with a property management accounting system is a plus.
