As we continue to grow, our Corporate Headquarters is seeking an experienced Executive Assistant to join our dynamic organization and help us grow our market in Torrance, CA.

Responsibilities:

  • The Executive Assistant is responsible for supporting and working directly under the Senior Executive Assistant to support the VPs (5) and CEO.
  • Organize and schedule meetings, send reminders, and organize catering when necessary
  • Book travel for the executive team including hotels, flights, dinner, etc., and prepare itineraries and expense reports
  • Assists in event planning and activities of major organization initiatives
  • Operates independently to meet requirements of the leadership team and offers expertise to assist other functions within the organization
  • Attend meetings, take accurate minutes of meetings, track/organize, and send follow-up reminders to the President to assist him in assuring his management and executive team are meeting important tasks and deadlines
  • Interact cooperatively and professionally with senior staff and other team members to provide backup assistance as needed
  • Provides operational support for special projects; researches and obtains information help plan and ensure follow-through of assigned tasks
  • Provides administrative assistance, such as writing and editing e-mails, drafting memos, distributing data, and preparing communications on the executive’s behalf
  • Maintains comprehensive and accurate records
  • Handles sensitive situations with professionalism, and confidentiality, and exercises good judgment
  • Performs other functions or duties as directed by management in line with the objectives of the dealership

Requirements:

  • Bachelor’s degree is required
  • 5 years of executive administrative experience, with proven success supporting owner, and/or C-level executive
  • Excellent PC knowledge- Proficient in Google Suite - Docs, Sheets, Slides (as well as create and maintain presentations, database, and spreadsheet files)
  • Excellent written and verbal communication skills to assure successful interaction with all levels of employees and external contacts
  • Positive attitude, strong work ethic, and independent problem solver who takes initiative
  • Demonstrate ability to manage time wisely, prioritize effectively in a fast-paced environment, meet deadlines, follow instructions, and work well under pressure
  • Must be able to occasionally work extended hours and weekends when necessary
  • Willing to travel domestically for up to 15%
  • Must have a reliable car and insurance
  • Must be 21 years of age, possess and maintain a current and acceptable, valid “C” Driver’s License to drive for the company
