What are the responsibilities and job description for the Secretary position at South Oaks?
- Administrative secretarial functions including office management, computer data entry, correspondence, typing, telephone communication, appointment scheduling, record-keeping, daily mail processing, filing, pulling files, proofreading and review of outgoing correspondence from the office of the Service Director and Administrative Supervisor of Outpatient Services.
- Attendance at supervisory and special meetings as delegated; meeting minutes as required. Attendance at all mandatory education/training.
- Preparation and distribution of weekly roster, patient activity schedules, work-shop schedules, weekly Treatment Team Review Meeting material, group attendance records, etc.
- Liaison with Payroll, Human Resources and other departments; liaison with counseling staff.
- Maintenance of staff and patient files.
- Compilation of statistical information, as required.
- Provide data entry/secretarial coverage for coworkers on vacation or sick leave.
- Preparation of special reports and coordination of special projects, assisting the Service Director/Coordinating Supervisor/Director of Outpatient Services in all areas, as required.
- Copy and collate materials, as required.
- Flexibility in work assignment to ensure efficiency of department.
- Customer Service: responding to customer inquiries and needs.
- Compliance with all protocols regarding facility HIPPA policy to protect patients' personal information.
- Compliance with facility policies to ensure patient and staff safety.
Qualifications:
- High School Diploma required
- Two years college education in health care or business administration preferred
- Five years of business experience, preferred
- Proficiency in basic computer skills (Outlook, Word, Excel, etc)
Job Type: Full-time
Pay: $18.00 - $18.18 per hour
