Administrative Assistant | Women’s Ministry @ Southcrest
Role Overview:
The Administrative Assistant to the Director of Women’s Ministry at Southcrest is a crucial position dedicated to providing administrative support. This role is instrumental in maintaining efficient office operations, managing calendars, utilizing technology systems, and creating clear communication. The Administrative Assistant also creates a warm and welcoming environment to handle reception duties, including answering phones and greeting visitors. This position will not be required to attend evening, overnight, or weekend events.
Education & Experience:
- High school diploma
- Proven experience in administrative roles
- Proficiency in scheduling calendars and utilizing technology for administrative tasks
- Experience in crafting emails through systems like MailChimp or Flodesk
Expectations and Goals:
- Supports the overall mission and vision of Southcrest
- Helps cultivate a culture of authenticity, faithfulness, generosity, and equipping
- Meets weekly with Women’s Ministry Director to discuss ministry needs
- Efficiently manage calendars and scheduling for the Director of Women’s Ministry
- Utilizes technology systems for facility management and organization
- Creates custom emails to enhance communication effectiveness
- Provides administrative support to enhance overall ministry operations
- Maintains a welcoming and hospitable atmosphere for guests
- Understands and ensures confidentiality of sensitive information and documents
Responsibilities:
- Calendar Management:
- Coordinates and manages the calendar of the Director of Women’s Ministry and related event calendars
- Schedules appointments, meetings, vendors, and events efficiently
- Administrative Support:
- Assists in utilizing technology systems for facility management and organizational efficiency
- Assists in the data organization of weekly and monthly ministries as well as event registrations
- Provides administrative support for the smooth functioning of the ministry team, including making copies, managing workflows, assembling ministry resources and inventories
- Reception and Communication:
- Answer Door G as needed, as well as answer the phone, greet visitors, and manage the front office
- Helps cultivate a safe, warm, and confidential environment
- Keeps office and ministry baskets stocked with hospitality needs
- Works with the Director of Women’s Ministry to ensure effective communication of ministry-related information and details to volunteers, leaders, staff, church, and community
- Creative Email Formatting:
- Assists in creatively formatting custom emails for various ministry communications
- Collaboration:
- Collaborates with the Administrative Team to ensure consistent and effective administrative processes
- Assists in the administrative side of event planning and coordination
