Southern California Edison’s (SCE's) Transmission and Distribution Organizational Unit (T & D) is responsible for planning, engineering, constructing, operating, and maintaining transmission and distribution facilities throughout the 50,000-square-mile territory. T&D is the steward of roughly $19 billion in assets that safely and reliably deliver electricity to 15 million residents via SCE’s 5 million customer accounts.
The position will be part of Southern California Edison’s (SCE) Transmission & Distribution Organization Unit (TDOU). The successful candidate will provide administrative support for the District Management Team.
Typical Responsibilities:
- Calendaring meetings, including scheduling and coordinating meetings and conference calls, as well as preparing agendas and discussion materials.
- Filing electronic and paper documents, including processing Temporary Power Pole, permit invoices, supply orders, purchase requests, and expense reports as needed.
- Verifying contracts are complete for work orders.
- Handling confidential and sensitive telephone calls, files, documents, and reports.
- Coordinating and finalizing routine assignments to ensure timely completion.
- Creating and maintaining district rosters and databases.
- Utilizing on-line and standard computerized office support tools and software to enter and retrieve data and update systems.
- Reviewing and routing incoming and outgoing correspondence, including following up where necessary.
- Participating on the Administrative Team and other special projects as assigned to assist in delivering reports and managing information.
- Making travel arrangements, providing back-up coverage to areas as needed, maintaining a safety conscious work environment by following Edison safety protocols and safe work practices. Performing other responsibilities and duties as assigned
You absolutely need to have:
- Three or more years of experience performing advanced administrative, secretarial, and clerical functions.
- Experience utilizing office productivity tools or databases such as Microsoft Word, Excel, PowerPoint or SAP to gather information, analyze & compile data, and create & edit reports, documents, and presentations.
Really good to have:
- Associates’ Degree.
- Three or more years of experience tracking the progress of projects, tasks, or assignments using Microsoft Excel.
- Calendaring appointments including coordinating, scheduling, and planning meetings and conference calls using MS Outlook and Skype.
- Researching, coordinating, and finalizing moderately complex assignments.
- Working in a multi-task environment, taking direction from multiple staff with minimal supervision.
- Processing, submitting, and tracking supply orders and repair/maintenance orders, purchase request, contracts, and invoices.
- Maintaining confidentiality, handling sensitive information, and providing exceptional service to internal and external customers.
- Ability to work well under pressure to meet changing deadlines, perform with minimal supervision, and possess excellent organizational skills.
- Ability to work independently, as well as in a team environment, interact effectively and collaboratively with clients, peers, management, and other work units both on the phone and in person.
