Contracts Specialist

Contracts Specialist is responsible for preparing, examining, and revising contracts that involve the purchase of our services.  Maintain an audit file for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications, payment schedules. Perform closing activities as needed.

RESPONSIBILITIES:

• Prepare subcontracts for execution:
  • Review subcontracts, request changes if needed
  • Request certificates of insurance and bonds
  • Prepare material submittals
  • File Intents to Pay Prevailing Wage
  • Prepare site specific plans: Site Safety, Erosion Control, Hazard Analysis, etc.
  • Ensure contract execution in accordance with company policy
• Prepare subcontracts for subcontractors:
  • Track authorizations and correspondence
  • Request to sublet
• Initialize Jobs:
  • Assign job numbers to projects
  • Prepare bid sheets for import into CE
  • Enter job information into CE job cost and job billing
  • Make file folders
• Prime Bids:
  • Order bid bonds
  • Enter all information into bid documents, prepare for signatures
  • Maintain project references
  • Prepare envelopes for bid delivery
  • CalTrans Electronic Bidding-enter and submit bids electronically
• Prepare State and Vendor Prequalification’s

EDUCATION:

• Degree in General Studies, Project Management, Business or a combination of experience and education

EXPERIENCE:

• Two or more years of related work experience in the construction industry STRONGLY preferred.

SKILLS REQUIRED:

• Excellent communication and customer service skills
• Strong attention to detail and good organizational skills
• Strong Microsoft Office and computer skills
• Four or more years of related work experience in the construction industry or related industry.
• Must be dependable, organized, and detail oriented with strong written and verbal communication skills
• Ability to work independently and demonstrate strong critical thinking and problem-solving skills
• Must be able to keep sensitive information confidential

Must be able to pass a Pre-employment drug test – this includes negative for marijuana
