Job Summary/Responsibilities
With the support of the Practice Managers, ensure the smooth and successful running of all financial aspects of the Practice.
To be responsible in assisting to produce performance and quality standards within the Practice financials, delivered through customer service skills and attention to detail.
To be responsible for the maintenance of the practice’s collections accounts, financial processes, reports, daily transactions, and documents while reporting any errors to the Practice Manager.
Duties include:
- Initiates 30/60/90 Day Late pay letters, texts, emails, and phone calls. Point of contact with questions.
- Track each patient financially through orthodontic treatment.
- Posts daily transactions and ensures accurate balancing.
- Performs delinquent account collection activities. Works with outside collection agency and documentation of that.
- Setting up payment arrangements after contract has begun.
- Write off accounts per best judgement and Drs request & remove late fees.
- Runs and tracks all financial reports.
- Works hard to achieve goals for the office
- Assist in administrative team covering telephones, taking payments, greeting patients, and scheduling patients.
- Monitors and responds to emails under ‘general’ emails such as registration and records.
- Uploads and document records and x-rays received into patients’ charts.
- Assist with transfer-out patients.
- GP/TX Recall monitoring.
- Braces Unattended letters.
- Follow up with website submissions.
- Follow up that reminder texts are functioning properly. Work with IT to diagnose issues quickly if they arise.
- Community outreach help and contact.
- Attend all staff meetings, front office meetings, and daily huddles.
- Representing the practice in a positive way inside and outside of the office.
Coming date TBD;
- Set up auto payments via ACH. Monitors and tracks issues related.
Knowledge / Skills / Abilities
- At least 1 year of financial experience is required (orthodontics preferred).
- Be self-motivated, organized, and have a positive attitude.
- Possess great understanding of dental insurance and insurance processing.
- Have excellent communication and telephone skills.
- Works well with patients and team.
- Be able to deescalate patients and or billing parties with concerns.
- Be experienced in delivering high-level customer service.
- Committed to the position arriving on time daily and staying late as needed.
- Excellent computer skills including Microsoft Word, Excel, Teams, and Outlook.
Salary : $18 - $25
