Summary: The Procurement Analyst is a liaison between Procurement, Sales, Operations and IT.  He/she is responsible for quality assurance of Procurement Data and owns reporting with regards to product data, inventory data, and service level. He/she is also responsible for collaborating with internal and external stakeholders to optimize service levels for SPR customers.

 

The Procurement Analyst performs a variety of customer related analyses and produce standard and custom reports to monitor the service for key customers. There is a significant amount of customer contact, and success in this role requires close communication and coordination with other functional departments within SPR Headquarters. The working environment is fast paced requiring the ability to work on several projects at one time.

 

Essential Duties and Responsibilities include: (Others may be assigned)

 

Reporting of Key Performance Indicators

  • The Procurement Analyst is responsible for the reporting of Key Performance Indicators (KPIs) for the Procurement Department. These reports include, but are not limited to: Service Level reports, Inventory reports, Open Purchase Order Reports, Missed Demand reports, Vendor Service Level reports, and more.
  • The Procurement Analyst is responsible for developing queries, macros, and dashboards that measure these KPIs and track company performance. The Procurement Analyst is also responsible for troubleshooting errors when they arise.

 

Data Integrity

  • It is the responsibility of the Procurement Analyst to monitor Data Integrity as it relates to Product Data, Inventory Data, and Service Level Data. As errors are identified, the Procurement Analyst is expected to coordinate with appropriate stakeholders within Information Systems to troubleshoot the source of inaccurate/missing data.

 

VIP Customer Process Integration

  • A select number of key customers have processes that are integrated with SPR. It is the responsibility of the Procurement Analyst to ensure that these processes run smoothly. This includes
    • Providing KPI reports, including Service Level reports, Missed Sales reports, and Backorder reports
    • Equipping customers with product data reports, including SPR assortment file, Quarterly Customer item file, Cross Reference files, Discontinuation files, and more.
    • Loading customer forecasts so that the purchasing team orders inventory to support future customer demand

 

Customer Fill Rate Improvement

  • Along with reporting on customer service level and backorders, the Procurement Analyst is also responsible for analyzing missed demand reports and taking actions to improve fill rate
  • These actions include, but are not limited to:
    • Reviewing missed demand/lost sales reports and adjusting inventory levels to account for missed demand 
    • Reviewing customer backorder reports and ensuring that product is purchased and/or transferred into the location where demand exists.
    • Advising customer of key product backorders

  • Strong Microsoft Excel skills required, VBA and process automation experience is a big plus
  • Ability to write queries in SQL and Oracle (Crystal Reports)
  • 3-5 years experience in analyzing business processes
  • Strong oral and written communication skills.  Experience interacting with/supporting customers
  • Ability to prioritize and manage multiple projects

·    Ability to maintain composure in pressure situations

 

Supervisory Responsibilities:

None

 

Education and/or Experience:

Undergraduate degree preferred.  Three to five years experience in analyzing business processes.

Knowledge of SPR business processes across multiple functional areas a plus.

 

Computer Skills:

Experience with database queries and Microsoft Office applications required.

 

Language Skills:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to document business processes and procedures.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

 

Mathematical Skills:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry.

 

Organizational Skills:

Must be detail oriented and exceptional in organization techniques.  Must be self-motivated, with ability to set and achieve goals, and set priorities of multiple tasks in order to meet deadlines.

 

Reasoning Ability:

Ability to define problems, collect data, establish facts, draw valid conclusions, and make sound business process decisions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
