What are the responsibilities and job description for the Community Relations Coordinator position at Spring Arbor?
Spring Arbor of Apex, NC is seeking a Community Relations Coordinator. The Community Relations Coordinator is responsible for greeting visitors, handling or directing resident requests as appropriate, answering incoming calls professionally and directing calls to appropriate staff members. Assists with community and in-house marketing, participates in the development and implementation of the community’s marketing plan.
JOB RESPONSIBILITIES:
General Office Duties
§ Operate community telephone and paging systems efficiently and transmit calls and messages promptly and accurately
§ Greet and direct visitors in a professional, friendly and hospitable manner
§ Ensure residents and guests sign in and out of the house
§ Answer inquiries according to established procedures relative to HIPAA guidelines
§ Handle inquires in a positive manner and obtain necessary information for follow-up
§ Notify the Supervisor-In-Charge (SIC) of bell calls in a timely manner
§ Receive, sort, and distribute mail
§ Assist in ordering, receiving, stocking, and distributing office supplies
§ Receive payments on accounts and issue receipts
§ Enter requests for transportation to medical appointments in transportation schedule
§ Perform general office duties (e.g., copy, file, fax)
Marketing
§ Assist with the development and implementation of the community’s marketing plan
§ Assist with marketing activities and events
§ Maintain prospective activity in marketing data base or prospect cards
§ Document marketing activity on a daily basis, transferring activity to ED, or to the Weekly Key Factor Report
§ Meet monthly sales standards including follow up calls, professional sales calls, monthly lead mailing and event planning
§ Prepare marketing packets and literature for referral visits
§ Develop a strong network of professional and agency referral sources
§ Host and attend community events, developing positive community relations
§ Research and maintain information on local competitors, including rates, specials and services
§ Schedule presentations with prospective residents and families, in accordance with Spring Arbor protocol
Training
§ Attend meetings and in-service training sessions as required and in accordance with state guidelines
Residents’ Rights Functions
§ Ensure compliance and understanding of all regulations regarding residents’ rights at all times and report observed violations
Other
§ Abide by all house policies and procedures
§ Handle emergency situations in a calm, effective manner
§ Assist coworkers with other duties as needed
§ Assist with resident activities as needed
§ Perform other related duties as assigned by his/her supervisor
KNOWLEDGE AND SKILLS:
§ Customer service driven in a highly active environment
§ Dependable and systematic
§ Skilled in accurately recording information
§ Maintain confidential information
§ Professional appearance and demeanor
§ Must be courteous, patient, and tactful when dealing with public, residents, and families
§ Ability to learn tasks and follow instructions
§ QUALIFICATIONS:
§ High School diploma or equivalent required
§ Experience in a healthcare, hospitality, or service environment preferred
§ Well developed interpersonal and communication skills
§ Ability to work in an environment conducive to caring for residents without posing a substantial safety or health threat to self or others
§ Ability to work well with others and promote a team environment
