This position requires that you be vaccinated for COVID-19 at least 2 weeks prior to starting employment.
This full time Monday through Friday (80 hours bi-weekly), benefits eligible, hourly position, provides administrative support to the Administrator and the Management Team of our facility, to propel the mission of St. Edmond's Home.
RESPONSIBILITIES:
Responsible for processing licensure forms, Title-1, Catholic Directory, Credit Applications, Corporate Matching Gifts, Client Funds Report, etc.
Maintain mailing list; compose and process donor acknowledgement s, memorial gifts, Mass cards and/or flowers as requested.
Process all checks, submit cash transmittals; maintain documentation.
Prepare monthly Donor Report (and End of Fiscal Year Report).
Prepare and distribute quarterly newsletter.
Prepare and maintain annual ESY contracts, invoice school districts and process payments.
Apply, maintain and follow-up grant requests and awards; seek new grants as time allows.
Maintain purchase order system; collect and file paperwork/packing slips.
Purchase and provide oversight of office supplies and printing needs.
Provide purchasing assistance including research, quotations, and processing.
Act as intermediate for staff computer and printer purchases and service needs from Archdiocesan IT Department.
Manage and maintain all SSI accounts and files for residents including application for benefit, setting up bank accounts, monitor spending, maintain receipts, reconcile bank statements, and preparation of annual reports for CSS and Social Security Administration; open and maintain Burial Accounts for SSI children.
Provide support to Women's Auxiliary as needed.
Attend Monthly Management Team Meeting and take minutes.
Maintain Policy and Procedures Manual on computer.
Post monthly employee birthday list prior to new month.
Coordinate annual Staff Coat Sale; weekly Friday basket and other staff incentive events - including Staff Appreciation Day, Staff Christmas Party, Health & Wellness Fair, Employee of the Month Awards, etc.
Maintain schedule of Administrator.
Other tasks as requested by Administrator.
QUALIFICATIONS:
Associate’s Degree preferred, but will consider experience in lieu of degree.
Must have excellent grasp of the English language.
Proficient in Microsoft Office, Quicken, Outlook, Web/Internet and other skills requiring desktop publishing and familiarity with digital photography.
Ability to prioritize administrative and project management tasks.
Demonstrates professionalism and confidence when interacting with all levels of management throughout the organization and handling highly-sensitive and confidential information.
Demonstrates flexibility in managing an ever-changing work flow, often with competing priorities.
Works with other members of the management team; may coordinate special projects.
Research data, construct data format and use appropriate software (PowerPoint, Excel, Word, Publisher) to develop reports, tables, graphs, and presentations.
Demonstrates basic knowledge of policies and procedures.
Demonstrates independent judgment and strong problem solving skills as they apply to situations.
Website Management experience helpful.
