Summer Session is Stanford University’s fourth academic quarter, offering more than 150 courses from 35 departments to graduate, undergraduate, and advanced high school students. Along with serving the needs of Stanford matriculated students, Summer Session makes it possible for visiting students to take advantage of the same courses, culture, and resources available at Stanford University. The Stanford Summer Session team seeks a Program Coordinator for Academic Programs to fulfill our mission of providing high-achieving and ambitious students with a transformative educational experience at a world-class university. Our team operates in a vibrant and collaborative environment where each member contributes to the strategy, development, and operation of Summer Session’s wide range of offerings. This position reports to the Associate Director of Academic Programs.

Please note the position will be based on the Stanford Redwood City campus.

Our ideal candidate is a self-starter who can capably provide program and event coordination, academic support oversight, project management, and administrative support for Summer Session’s Academic Programs team. We are seeking someone who is creative, organized, and passionate about creating rich learning experiences for undergraduate and graduate students.

Responsibilities include:

As a member of the Summer Session Academic Programs team, you’ll provide coordination and support for a wide range of academic and intellectual programming that includes faculty speaker events, workshops and experiential learning activities with campus partners, in addition to site visits to research centers, libraries, and art collections. Working with campus and community partners, you’ll play a key role in giving summer students exposure to Stanford’s vibrant learning culture, as well as to the tech world of Silicon Valley. You’ll take the lead in managing the Summer Academic Resource Center, which provides tutoring, advising, and academic skills workshops to all summer students. You will recruit, hire, train, and supervise a team of 15-20 graduate student tutors, reach out to students of concern, interact with faculty, and manage the academic petition process. You’ll also coordinate pre-summer and summer academic advising, consulting with students about their courses, deadlines, academic progress, and academic goals. You’ll participate in outreach and communication efforts regarding academic programs and actively participate in our unit’s efforts to track student engagement in summer offerings. Our work is cyclical throughout the course of the year, so each day brings new challenges, opportunities, and rewards as you:

  • Coordinate summer events and academic programming for Summer Session students including speaker events, service opportunities, site visits to libraries, research centers, and labs, and hands-on activities with campus partners.
  • Take the lead on planning and executing the Summer Academic Resource Center, which provides academic support for all summer students: recruit, hire, train and supervise a team of graduate student tutors, and guide tutors in the development of academic skills workshops and in delivering 1:1 tutoring.
  • Coordinate pre-summer and summer academic advising and participate as a member of the academic advising team.
  • Manage the academic petition process, assisting students in requests for exceptions to academic policy, in collaboration with central Academic Advising.
  • Manage the Summer Academic Resource budget and track expenses related to tutor hiring and program administration.
  • Develop and administer student communications related to academic programs.
  • Participate in outreach and recruitment efforts for academic programs.
  • Collect data and assist in surveying and tracking of student engagement. Prepare and summarize reports and make recommendations to enhance offerings.
  • Serve on the admissions review team, evaluating applications from visiting high school and university-level students.

To be successful in this position, you will bring:

  • A Bachelor’s degree and a minimum of two years of relevant experience (3 years preferred), or combination of education and relevant experience.
  • Experience with teaching, tutoring, advising, and/or coordinating educational programs.
  • Excellent verbal and written communication skills.
  • Computer skills, including experience with Microsoft Office and Google Suite, along with basic computer systems and technology experience.
  • Strong organizational aptitude, detail-oriented, with the ability to manage projects independently and prioritize tasks.
  • Ability to direct the work of graduate student staff.

In addition, preferred requirements include:

  • Creativity, a desire to learn/ a growth mindset, and a willingness to prototype and experiment.
  • Can do attitude and a desire to problem solve, using data analysis and best practices.
  • Willingness to learn and adhere to compliance policies, legal and university policies, and external regulations.
