Your Opportunity
Our Environmental Services team is searching for a motivated Program and Strategic Initiatives Coordinator to support our growing team and expanding opportunities. This exciting role will be supporting three (3) aspects of BC 1857 that include project controls, strategic initiatives, and BC leadership.
Your Key Responsibilities
Project Control Support
- Support Project Control Program Leader with project control activities which may include –
Create, oversees, and manage contracting and financial documents programs
File and track incoming and outgoing documentation and maintaining project files
Oversee and review outgoing and incoming costing documents
Act as the main liaison for subconsultants reviewing and overseeing all contracts, staffing needs, invoicing, and payment
Work side by side with Project Billers to ensure timely and accurate invoice submittal to the client
Assist with maintaining/managing various project and department tracking logs
Assist with project close-out process and maintenance of archiving on-site and off-site files
Perform periodic audits of project management files and assist project managers with preparation and updates to essential project documents and files
Strategic Initiatives Support
- Support BC Strategic Initiatives Leader with planning and implementation of strategic initiatives. The current strategic initiatives include: Project Management Excellence, Safety Commitment, Collaboration, and Communication. This may include -
Assists the Strategic Initiatives Leader define goals and timelines
Assists with tracking milestones and timely submission of deliverables related to the strategic initiatives
Assists with document control related to the strategic initiatives
Attend meetings and supports with scheduling
Collaborates with BC leadership to identify immediate and future needs
BC Leadership Support
- Support BC Leadership and Leadership Core with any strategic, programmatic, or administrative efforts.
Assists with calendars and tracking deadlines including safety related topics
Help establish and maintain a collective schedule to meet BC Leadership’s overall goals
Collects ongoing suggested meeting topics from BC staff and distributes to BC Leadership for future discussions
Supports administrative needs, including but not limited to, meeting notes, agenda distribution, and action items
Assists with the maintaining the BC’s SharePoint page and collaborates on updates
Qualifications
Your Capabilities and Credentials
- Proficient user of computers and software
- High level administrative, organizational, customer relations skills, excellent communication, business writing skills, editing and formatting skills
- Experience assisting department management in day-to-day operations as well as with project administrative tasks
- Ability to multi-task and work in a fast-paced environment.
- Acute attention to detail
- Ability to work with and maintain sensitive, confidential information
- Resourceful in completing projects and meeting deadlines
- Strong aptitude to learn and implement new skills
- Adaptable / flexible to an evolving environment
Education and Experience
- A bachelor’s degree in environmental science, accounting or a closely related field
- 10 years of related experience. Prior environmental services a plus
