The Division of Student Affairs is responsible for a wide array of services and activities and is comprised of several major departments that serve student needs and provide services to support students’ lives on campus and enhance student success. Residence Life and Housing provides campus housing to students and supports their educational pursuits by providing safe, secure, and engaging living environments.
The Associate Director of Business Operations manages daily building and facilities operations for on-campus housing, ensuring that operational needs of the department and residents are met. The position will have an oversight role for vendor relationships for supplies and services and will have an oversight role in managing the annual turn-over process and the move-in and move-out process. The Associate Director of Business Operations will support the Director in all long-range maintenance, financial, and life cycle planning, implementing new technologies, and strategic planning within Housing Operations. This position will ensure the department follows all University policies and procedures related to business practices, fiscal accounts, and personnel recruitment, hiring, and supervision. This position is responsible for acquiring, inventorying, and maintaining equipment, software, furniture, and other assets.

Through supervision of the Assistant Director of Assignments and Guest Services, this position oversees all processes related to occupancy and space management of room assignments, residential contract management, and external groups in a way that best suits the residents, overnight external customers, and the University.

The Associate Director of Business Operations directly or indirectly supervises all staff within the Business Operations area. In the absence of the Director of Residence Life and Housing, the Associate Director of Business Operations will provide direction, provide oversight of staff, attend meetings, and provide crisis response.

Primary Duties
Oversees accounting for the financial expenditures of the Department of Residence Life and Housing. 
  • Ensures accurate student billing is completed, posting necessary room charges and damages to students’ accounts. 
  • Develops and implements procedures and policies to ensure student billing is accurate. 
  • Addresses and resolves any administrative issues that result in inaccurate billing entries. Ensures the department complies with all university policies and procedures related to fiscal requirements.
Coordinates and manages all general support activities to ensure efficient and consistent day-to-day operations of the Residence Life and Housing Business Office. 
  • Functions as the key contact for vendor relations for supplies and services. 
  • Assists with the coordination of custodial, maintenance, and IT departments to ensure that general and emergency issues in the residence halls are corrected in a timely fashion. Assists, as needed, with room assignments and housing applications. 
  • Facilitates the development and implementation of training policies, procedures, manuals, etc. as needed. 
  • Develops and maintains regular communication with Student Billing, Financial Aid, and Financial Services to ensure efficient and accurate billing of Residence Life charges, credits, and deposit transactions.
Student Housing Duties
  • Oversees the development and maintenance of the housing assignments database including addressing support issues, keeping up with the latest technologies and updates, and updating the student-facing housing portal through supervision of the Assistant Director of Assignments and Guest Services.
  • Manages student card access with CS-Gold and coordinates opening, closing, and holiday schedules.
  • Manages resident files, making sure all are complete and if they are not, following up with residents.
  • Decides appeals related to the live-on-campus exemption process.
Summer Housing Duties
  • Coordinates summer housing application processes including applications, contracting, payment, and assignments. 
  • Coordinates the logistics for summer check-ins and check-outs, including proper communication to building staff regarding summer expectations.
  • Coordinates housing transitions from spring to summer and summer to fall with University Housing to ensure proper cleaning, maintenance, and scheduling vendors such as contractors.
  • Assists in determining summer University Housing facilities projects and upgrades. Determines space availability for summer housing.
  • Maintains positive communication with campus partners, including academic departments, to determine summer housing needs. Assists in the management and reporting of summer revenue.
Housing Outreach and Marketing
  • Facilitates and oversees all Residence Life & Housing department-level marketing and technology including purchasing giveaway materials, the development and oversight of social media accounts, maintenance of webpages, the training and use of design software, and asset buying, inventory, and maintenance. 
  • Assists in coordinating with other University departments to facilitate Discover Day and year-round tours. Facilitates the University Required Assessment process for Residence Life & Housing.
  • Represents department and/or division at recruitment and new student events, such as open houses, orientation events, and other housing-related venues/forums. 
  • Assists in the recruiting, hiring, and training of student employees, graduate, and full-time staff and provides direct and functional supervision. 
  • Collaborates with and serves on university and departmental committees. 
  • Processes all employment paperwork, payroll, and time keeping for all employees of the Office of Residence Life and Housing, as required by the Human Resources and Financial Services departments. Develops internal procedures to ensure that all paperwork is processed in a timely manner and all requirements are met.
  • Advises students and University personnel on Residence Life and Housing policies and procedures. 
  • Provides secondary support of “on-duty” coverage on rotational basis with the Director of Residence Life & Housing. Responds to and exercises independent judgment when appropriate for an emergency and/or crisis situation. 
  • Works closely with campus partners, such as the Sheriff’s Department and Counseling Center staff. Reviews and submits incident reports in a timely manner.

  • Perform miscellaneous job-related duties as assigned.
Salary Range
$45,000 - $54,000Minimum Qualifications
  • Master’s Degree
  • Computer skills including experience with Microsoft Office software
  • Higher Education experience
  • 2 years of general housing experience
Preferred Qualifications
  • Master’s degree in Higher Education Administration, MBA, or other related field
  • Membership with regional university housing organization
  • 2 years of experience with housing placement or business services in residential facility or apartments
  • Experience working with database systems including housing management systems such as StarRez and CS-Gold
  • Experience with website or marketing software such as Cascade or Canva
  • Experience with and commitment to working in a diverse workplace
