MINIMUM REQUIREMENTS:
A bachelor’s degree from an accredited college or university and one (1) year of administrative experience; or
A master’s degree from an accredited college or university can substitute for the required experience; or
Administrative or clerical experience can substitute on a year-for-year basis for the required college education.
An equivalent combination of education and experience which equals five (5) years can substitute for the above requirements.
Requires possession of a valid class E driver license.

JOB DUTIES:
Responsible as the Office Manager for the operation of the Forest Protection Bureau relating to correspondence, records, information required by bureau staff members, and the implementation of policies and procedures. Must be knowledgeable of all Forest Protection programs and the technical terms of each. Coordinates the day-to-day work of the bureau clerical staff and handles related issues. Advises the field offices regarding policies and procedures of Forest Protection programs.
Responsible for maintaining the bureau’s record system. Maintains encumbrance records for the bureau. Develops and implements budget control methods, prepares requisitions or contracts to vendors for department purchase orders and processes invoices for payment. Ensures Florida Accounting Information Resource (FLAIR) Detail Disbursement Reports are reconciled. Monitors and approves Purchase Card transactions for the bureau and out-of-state wildfire personnel. Acts as the bureau Travel Liaison and processes travel authorizations and vouchers for bureau staff. Coordinates collection and presentation of data for preparation of operating and legislative budgets.
Reviews, analyzes and prepares drafts of memoranda and correspondence for administrative decisions and policies for the Bureau Chief and the Assistant Bureau Chief. Expedites the processing of all correspondence when the Director’s or Commissioner’s signature is required. Checks incoming legal documents for completeness. Distributes all incoming mail. This position assists the Bureau Chief with the research, development and implementation of subject matters relating to collective bargaining issues. Serves as the bureau Timekeeper.
Compiles and analyzes data for use by the Bureau Chief and Assistant Bureau Chief in developing Forest Protection policy and procedure on all bureau programs. Coordinates work of clerical staff in mail distribution. Keeps bureau personnel informed of all policies and procedures of the division and department. Maintains bureau files and checks all correspondence before it is filed to see that it has been handled properly and the file closed. Supervises periodic purging of “permanent” files.
Maintains bureau personnel records. Maintains Policy and Procedures Manual. Keeps due-date calendar for reports, staff action assignments, personnel ratings and keeps Bureau Chief informed. Acts as the hiring manager for Bureau Chief and Assistant Bureau Chief. Keeps supervisors’ calendars and appointment registers, and make arrangements for travel, accommodations, etc. Act as Bureau Uniform Liaison.
Assists the Fiscal Section with the processing of claims for reimbursement related to wildfire or all hazard deployments both in-state and out-of-state. Maintains Public Records Request Activity Log for the bureau and submits monthly report.
Performs other duties as assigned. Responsible and accountable for managing budget/dollars/resources (staff, vehicles, computers, cell phones, etc.) of any assigned programs in an efficient and accountable manner. Responsible for ensuring that assigned program areas have operational procedures and processes which result in accountability and compliance with division and department policies and procedures.
