This is a highly responsible and professional position that will serve as Clerk Specialist F / C. T his position will collaborate with each section within the state facilities and be required to use independent judgement, take initiative in carrying out duties and responsibilities and should be extraordinarily detail oriented.
Specific Duties and Responsibilities include :
This position requires lifting, pulling, and squatting. Duties of this position require the incumbent to be knowledgeable of and utilize the principles of Total Quality Management.
The employee in this position spends a minimum of 75% of his / her time performing duties as outlined on the official position description, which involves contact with residents in a forensic facility or institution.
- This position is located in Forensic Central and falls under the supervision for the Medical Unit Supervisor-F / C of Forensic Central.
- This position involves a variety of clerical skills, which includes computer use (Microsoft Word / Excel), typing, prioritizing, monitoring and scheduling duties.
It involves the ability to exercise problem solving techniques and work toward a cohesive smooth working environment while dealing with multiple projects each day.
It also involves the exercise of independent judgment, initiative and the development of specialized work methods, procedures and their application for solution of technical problems.
- Establishes and maintains employee time records for the entire unit. This would include accurate employees records for accrued annual and sick leave for payroll purposes.
- Prepare job related injury reports and submits forms to Personal Office to be processed for worker's compensation purposes.
Also responsible for preparing Personal Recruitment Requests for Payroll Actions forms for submission for processing in a timely manner.
- Answers telephones, routes calls and relays messages.
- Input employee call-ins into data base, prepare travel for employees.
- Ensure probationary annual evaluations are completed and turned into Human Resources in a timely manner.
- Attends / participates in 100% of mandatory training as required by supervisor in accordance with FSHOP 225-1. Performs other related duties as assigned
- Answers telephones, routes calls and relays messages.
Knowledge, Skills and Abilities required for the position :
- Knowledge of correct spelling, punctuation and grammar usage.
- Skill in typing.
- Ability to alphabetize and file.
- Ability to communicate effectively.
- Ability to establish and maintain effective working relationships with others.
- Ability to use correct spelling, punctuation and grammar.
- Ability to type letters, memoranda and other standard business forms in correct format.
- Ability to operate general office equipment.
- Ability to push / pull up to 150lbs, unload and store boxes up to 60lbs.
Minimum Qualifications :
- One year of secretarial or clerical work experience; or
- Possession of a Certified Professional Secretary Certificate.
- Vocational / technical training in an area of secretarial science or office / business studies can substitute at the rate of 720 classroom hours for the required work experience.
- A high school diploma or its equivalent can substitute for the required work experience.
