POSITION DESCRIPTION: Acts as a switchboard operator for District Four (D4) Department of Transportation published contact number. Receives and routes all incoming telephone calls, including appropriate routing of customer complaints. Collects and distributes messages when required by email to appropriate staff.
Update the D4 Public Information Office's (PIO) meeting calendar. Create GoToWebinar sessions for public meetings as assigned.
Manage the PIO photo library.
Pick-up and deliver mail for the District Four Executive Suite.
Assist Design Project Managers with creating mailing labels from the Geographic Information System (GIS).
KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of multi-line phone system. Knowledge of business telephone etiquette. Knowledge of techniques for effectively dealing with people. Knowledge of techniques for responding to telephone calls in a courteous and effective manner. Ability to follow procedures and practices. Ability to use Word processing software and Outlook. Ability to establish and maintain effective working relationships with others. Ability to remain calm and effective under pressure. Ability to communicate effectively, verbally, and in writing. Ability to listen effectively. Ability to deal with the public and to handle calls in fast, courteous, and efficient manner. Skilled in providing customer service.
MINIMUM QUALIFICATIONS: A high school diploma or its equivalent and one year of secretarial or clerical work experience. College education from an accredited institution can substitute for one year of the required work experience.
